Job summary

Ignis Building Solutions is seeking an Intermediate Project Coordinator to join our fire safety services team. You will support project administration, client communications, scheduling, and tender preparation while ensuring compliance with codes and standards.

You will coordinate meetings, manage sub-contractors and payables, prepare contracts and proposals, create Gantt charts, and assist with training and site audits.

Qualifications

  • Familiarity with fire protection and life safety codes, standards and best practices.
  • Completion of Seneca’s Fire Protection Engineering Technology program or equivalent.
  • Strong analytical and organizational skills with attention to detail.
  • Ability to meet timelines; self-starter with initiative.
  • Capable of training others and presenting to groups.

Responsibilities

  • Provide customer-focused service and communication of project status to the Project Manager.
  • Manage schedules and priorities while maintaining quality with a busy schedule.
  • Prepare RFSs, proposals, and contract documents for projects.
  • Coordinate subcontractors, billing, and payables; track job costs.
  • Attend client and contractor meetings, site visits, drills, and audits.
  • Create and utilize Gantt charts for project tracking.
  • Assist with specifications, tenders and building safety trainings.

Intermediate Project Coordinator Ignis Building Solutions is a premier provider of fire safety solutions specializing in a comprehensive range of services related to Fire Prevention and Life Safety Consulting, Project Management Services, and Technical Solutions. The Intermediate Project Coordinator will be a part of a dedicated team that specializes in navigating the complex field of Fire Prevention and Life Safety, enabling our clients to make informed decisions and meet regulatory requirements for safety. You will play a pivotal role in assisting clients in selecting the most suitable products from reputable manufacturers at competitive prices. Your expertise will extend to specification and tender development, verification, testing, and ensuring compliance with relevant codes and industry standards.

As An Intermediate Project Coordinator, You Will
  • Provide service dedicated to the customer’s needs
  • Communicate project status to the Project Manager
  • Manage schedule and priorities while maintaining quality with a busy schedule
  • Provide project administration on various projects
  • Conduct client consultations (i.e. telephone, email and letter)
  • Attend client sites for client and contractor meetings, evacuations and drills, and meetings with Authorities Having Jurisdiction
  • Be responsible for meeting minutes
  • Coordinate the billing of projects and issue certificates of payment
  • Prepare RFS’s
  • Prepare and send out proposals
  • Create and utilize Gantt Charts for project tracking
  • Prepare CCDC Contracts
  • Coordinate, and facilitate fire safety training, drills, and exercises Conduct building audits
  • Assist with PMA Specifications and Tenders
  • Assist with Managing sub-contractors
  • Manage accounts for annual inspections and deficiencies
  • Review Sub-contractor Annual and VI reports and deficiencies and look for opportunities and compliance
  • Prepare Contract documents for projects
  • Coordinate ordering parts for jobs
  • Review subcontractor payables and job costing
  • Provide Close Out Documents
  • Create Building Operator Training
Qualifications
  • CFAA Registration, Electrical Certifier or equivalent
  • Completion of Seneca’s Fire Protection Engineering Technology program or equivalent
  • Knowledge of fire protection and life safety including familiarity with building/fire/life safety codes, standards, and best practices
  • Technically oriented skills; good analytical and organizational skills; attention to detail; able to complete tasks and projects in established timelines
  • Self-starter that exhibits a high level of initiative and resourcefulness
  • An individual with high standards who holds themselves accountable Confident and able to speak to large groups and train others Confident, calm decisive
  • Versatile and able to manage varying workloads A real team player
  • Ability to establish positive relationships with project team members and clients Proficiency with Microsoft Office 365
  • Bilingual in French and English is an asset
