About the role

The Intake Coordinator is the empathetic first point of contact for prospective personal injury clients. This role evaluates case viability by gathering detailed incident information, conducts initial consultations, and schedules appointments. Responsibilities include accurate data entry in Litify, preparing and sending e‑signature documents, collecting supporting materials, following up on pending items, and obtaining crash reports as needed. The coordinator also refers non‑qualifying inquiries appropriately and participates in rotating after‑hours and weekend on‑call coverage. Success requires strong communication, emotional intelligence, attention to detail, and the ability to thrive in a fast‑paced, client‑focused environment.

What you'll do
  • Receive outbound calls and create intakes, creating a great first impression with a potential client.
  • Screen callers for viable cases by gathering information from potential clients.
  • Schedule client appointments.
  • Take detailed notes during client calls and meetings.
  • Create and maintain information in our Litify system.
  • Merge and send documents via our E‑signature platform.
  • Obtain photos of vehicles and injuries, driver’s license, insurance information, vehicle location, and claim number if available at the time of intake.
  • Follow up with crash reports as needed, follow up with pending items from clients, and make calls to SAPD or other police agencies to verify reports.
  • Learn about our firm’s services and refer clients who are not a fit for us.
  • Participate in after‑hours and weekend on‑call coverage on a rotating schedule with another intake coordinator.
Qualifications
  • High school diploma or equivalent. Bachelor’s degree preferred.
  • Minimum 1 year of Personal Injury experience.
