Job summary

West Coast Trial Lawyers APLC is seeking an experienced Personal Injury Intake Specialist to manage prospective client inquiries, conduct intake interviews, and support onboarding in a fast-paced firm.

The role requires 3–5 years of personal injury intake experience, bilingual English/Spanish, excellent communication, and meticulous record-keeping in Abacus Law and Filevine; on-site Phoenix office experience preferred.

Qualifications

• 3–5 years of personal injury intake or case management experience.
• Bilingual in English and Spanish.
• Excellent verbal and written communication, empathetic client interaction.
• Experience performing intake interviews, gathering case information, and identifying potential claims.
• Familiarity with Abacus Law and Filevine is a plus.

Responsibilities

• Serve as the primary contact for prospective clients via calls, emails, and referrals.
• Conduct intake interviews to collect accident details, injuries, insurance coverage and documents.
• Perform preliminary case screenings based on firm criteria.
• Explain intake processes, services, and next steps to clients.
• Assist clients with intake forms, retainer agreements, and onboarding docs.
• Coordinate with attorneys and case managers for timely review and onboarding.
• Maintain accurate client information and intake records in Abacus Law and Filevine.
• Follow up on outstanding information and next steps.
• Ensure professionalism, empathy, and confidentiality in all interactions.

Position Overview

We are seeking an experienced Personal Injury Intake Specialist to manage prospective client inquiries and facilitate the intake and onboarding process. The ideal candidate has a strong background in personal injury, excellent communication skills, and the ability to assess potential cases while providing a professional and empathetic client experience. This position requires strong attention to detail, sound judgment, and the ability to manage a high volume of inquiries in a fast-paced legal environment.

Responsibilities

• Serve as the primary point of contact for prospective clients, managing inbound calls, emails, and referrals promptly and professionally
• Conduct comprehensive intake interviews to gather accident details, injury information, insurance coverage, and other relevant case documentation
• Perform preliminary case screenings to identify potential personal injury claims based on the firm's established criteria
• Clearly explain the firm's intake process, services, and next steps to prospective clients
• Assist qualified prospective clients with completing intake forms, retainer agreements, and required onboarding documentation
• Coordinate with attorneys and case managers to ensure timely case review and a seamless transition of accepted clients
• Maintain accurate and up-to-date client information, intake records, and case documentation in Abacus Law and Filevine
• Follow up with prospective clients regarding outstanding information, documentation, and next steps
• Ensure all client interactions are handled with professionalism, empathy, and confidentiality

Requirements

• Minimum of 3–5 years of experience in personal injury intake or case management (required)
• Bilingual in English and Spanish (required)
• Strong understanding of personal injury claims, intake procedures, and client onboarding
• Excellent verbal and written communication skills, with the ability to engage prospective clients professionally and empathetically
• Experience conducting detailed intake interviews, gathering case information, and identifying potential claims.
• Familiarity with Abacus Law and Filevine is a plus
• Ability to thrive in a fast-paced, high-volume environment while maintaining accuracy and attention to detail.
• Strong organizational, time management, and follow-up skills
• Ability to handle sensitive client information with professionalism and confidentiality

Hourly Range

$21.00-$23.00 per hour
