Responsibilities

• Serve as the first point of contact for all potential client incoming calls, web inquiries, and referrals.
• Managing the intake process from initial contact through case onboarding.
• Ensuring all potential cases are properly screened, documented, and transitioned smoothly to the legal team.
• Conduct thorough client intakes, gather relevant facts, and assess potential personal injury claims.
• Clearly explain the intake process, retainers, and next steps to prospective clients.
• Accurately enter and manage client information in Filevine and other internal systems.
• Follow up with leads and maintain consistent communication to convert qualified prospects into signed clients.
• Request, receive and organize initial documents such as accident reports, insurance information, and medical details.
• Maintain detailed and accurate intake notes and documentation.
• Provide a high level of professionalism, empathy, and responsiveness when interacting with clients.

Qualifications

• Minimum of 2 years experience working in a personal injury law firm in California, with a strong focus on intake.
• Solid understanding of personal injury case types, terminology, and client screening processes.
• Excellent communication, customer service, and active listening skills.
• Ability to multitask and prioritize tasks effectively.
• Proficiency in case management software (FileVine), Adobe, Microsoft Office and Google Suites.
• Strong attention to detail and ability to handle a high volume of calls and inquiries.
• Ability to work independently and as part of a team.
• Commitment to maintaining confidentiality and professionalism at all times.
• Open to learning new skills
• Candidate must speak English and Spanish at fluency level
