Job summary

The Aviary Recovery Center is seeking an Intake Coordinator to manage the front desk, perform phone triage, coordinate admissions, and verify insurance while supporting the admissions team. The role includes evenings, weekends, and on-call responsibilities in a full-time capacity at our Eolia, Missouri facility.

Ideal candidates have a High School Diploma, with a Bachelor’s in social work, psychology, or related field preferred, and healthcare admissions experience is a plus.

Qualifications

• High School Diploma or equivalent required; Bachelor’s Degree in social work, psychology, counseling, or related field preferred.
• 1+ years’ experience in healthcare admissions preferred, preferably in mental health or substance use disorder.
• Experience in client assessment, referral, treatment planning, and communication with external review organizations or comparable entities.
• Knowledge of community resources.
• Outstanding interpersonal and interviewing and assessment skills; telephone etiquette and paging procedures.

Responsibilities

• Conduct pre-admission assessments.
• Interview client, family members and/or collateral sources to assure intake criteria are met.
• Generate, guide, and lead discussions with referral sources for client support, conflict resolution and business development with other treatment and healthcare professionals.
• Respond to the needs of referred clients.
• Assess family needs for mediation, sober escort and intervention and determine appropriate professional resources.
• Decide which Interventionist and facility to recommend, dates, and travel.
• Work with other departments and external parties to ensure timely admission of clients.
• Document daily all activities, contacts, appointments, and events in the CRM; maintain admissions documentation.
• Verify insurance benefits for all clients on all private admissions.
• Screen calls from referrals and arrange transportation for admission.
• Maintain a waiting list for admissions and stay in contact with potential candidates.

About the Job:

PURPOSE STATEMENT:

The Intake Coordinator is responsible for establishing and maintaining a first- impressions environment at the facility front desk. Duties include phone triage, addressing requests for services and performing client call backs and documents all call activities. Answers inquiry calls about facility services and availability, performs pre-registration, verifies insurance eligibility, and coordinates with the insurance company. Facilitates assessment and/or intake to facility services when appropriate. Provides administrative support to the department of admissions, ensuring the quality of service to clients and their families.

This role is full time and included evenings, weekends and on call responsibilities

Roles and Responsibilities:

ESSENTIAL FUNCTIONS:

• Conducts pre-admission assessments.
• Interviews client, family members and/or collateral sources to assure intake criteria are met. Reviews prospective admissions against approved admission criteria, policies, and procedures.
• Generates, guides, and leads independent discussions with referral sources for client support, conflict resolution and business development with other treatment and healthcare professionals,
• Responds and reacts to the needs of referred clients.
• Assesses family needs for mediation, sober escort and intervention anddetermines which professional resources are most appropriate to contact based on information gathered.
• Decides which Interventionist and facility to recommend, the dates, and the travel.
• Works closely with other department as well as external parties to ensure the timely admission of clients.
• Documents daily all activities, contacts, appointments, and events in the designated Customer Relationship Management system. Maintains all the documentation involved with the admissions process.
• Utilizes resources to ensure insurance verifications of benefits for all clients on all private insurance admissions.
• Screens calls from referrals and sets up transportation for admission.
• Maintains a waiting list for admissions and stays in contact with potential candidates to facilitate admissions.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:

• High School Diploma or equivalent required. Bachelor’s Degree in social work, psychology, counseling, or other related field of study preferred.
• One or more years’ experience in healthcare admissions preferred. Preferably in the mental health or substance use disorder field.
• Experience in client assessment, referral, treatment planning and communication with external review organizations or comparable entities.
• Knowledge of community resources.
• Outstanding interpersonal and interviewing and assessment skills. Skill in telephone etiquette and paging procedures.

LICENSES/DESIGNATIONS/CERTIFICATIONS:

• CPR certification and de-escalation training required (training available upon hire and offered by facility).
• First aid may be required based on state or facility requirements.
• Nursing credentials, including RN licensure, are considered a plus but are not required for this position
