Job summary

Intake & Administrative Specialist — temporary — is a full-time role in Minnesota across Housing Prevention, Housing Vouchers, and Energy Assistance. You will handle high-volume inquiries, collect and verify documents, and process applications to help individuals and families maintain stable housing and utility services.

Responsibilities include serving as the primary contact via calls, email, and text; maintaining audit-ready files; and ensuring accurate data entry into program databases.

Qualifications

  • 1-2+ years of administrative, data entry, client intake, or customer service experience.
  • Excellent verbal, phone etiquette, and written communication skills.
  • Strong computer literacy with databases, spreadsheets, and data entry software.
  • High attention to detail with paperwork and sensitive personal data.
  • Ability to commit to a full-time temporary assignment lasting through January 2027.

We are seeking a detail-oriented, multi-tasking Specialist for a full-time, temporary role expected to run through January 2027. This position handles high-volume administrative tasks and client support across three core community assistance programs: Housing Prevention, Housing Vouchers, and Energy Assistance. As the primary point of contact, you will answer inquiries, collect and verify documentation, and process applications to help individuals and families maintain stable housing and utility services. We currently have three openings across these department focus areas.

Job Type: Full-Time, Temporary (Expected through January 2027)
Schedule: Monday - Friday, 8:00 AM - 4:30 PM
Pay Rate: $18.00 / hour

Responsibilities:
  • Serve as the primary contact by answering high-volume incoming phone calls, emails, and text messages from applicants, property managers, and utility providers.
  • Collect, review, and verify physical and digital documents (leases, income verification, utility bills) to determine program eligibility.
  • Input participant records, track file statuses, and accurately update program databases in compliance with reporting standards.
  • Process incoming applications and maintain thorough, audit-ready compliance files across housing retention, voucher subsidy, and energy relief initiatives.
  • De-escalate customer concerns with empathy while providing clear guidance on application requirements and approval timelines.
Skills:
  • Prior experience working in human services, housing programs, or non-profit administrative support.
  • Familiarity with local community resources, housing assistance programs, or utility assistance frameworks.
  • Bilingual capabilities (verbal and written) are a strong plus.
Qualifications:
