Responsibilities

  • Perform daily administrative and clerical duties to support the insurance department.
  • Enter, update, and maintain accurate information in company databases and insurance systems.
  • Prepare, organize, scan, copy, and file insurance documents, forms, records, and correspondence.
  • Maintain organized electronic and physical filing systems.
  • Review documents for completeness, accuracy, and missing information.
  • Process insurance-related paperwork and documentation in a timely manner.
  • Track policy information, certificates, claims documentation, renewals, and other records.
  • Communicate with insurance companies, customers, vendors, and internal departments by phone and email.
  • Respond to routine inquiries and direct questions to the appropriate person when additional assistance is needed.
  • Prepare reports, spreadsheets, correspondence, and other administrative documents.
  • Schedule appointments, meetings, inspections, and other activities as needed.
  • Monitor deadlines and follow up on outstanding documentation or requests.
  • Assist with data collection, reporting, and maintaining department records.
  • Process incoming and outgoing mail, emails, and other correspondence.
  • Maintain confidentiality of customer, employee, and company information.
  • Assist with general office duties and administrative projects as assigned.
  • Provide backup support to other administrative staff when needed.
