Responsibilities

• Manage installation backlog and active projects.
• Contact customers to schedule, confirm, and update appointments.
• Coordinate technician schedules and project timelines.
• Serve as primary point of contact for customers.
• Order and track materials and parts for installations.
• Create and manage purchase orders (POs).
• Support Installation Manager with daily operations.
• Monitor status and meet milestones and deadlines.
• Follow up on communications with customers, vendors, and internal teams.
• Maintain organized project documentation and records.
• Assist with customer service inquiries and project updates.
• Support billing, accounts receivable, and admin tasks.
• Coordinate permits applications and approvals when required.
• Ensure compliance with local permitting requirements and codes.

About The Opportunity

Loyal Source is seeking a highly organized, customer-focused Installation Coordinator to join a growing security integration team in the St. Louis area. This position plays a critical role in supporting installation and project operations by coordinating schedules, managing project timelines, communicating with customers, and ensuring technicians have the resources needed to successfully complete projects.

The ideal candidate will have prior experience as an Installation Coordinator, Project Coordinator, Permitting Coordinator, or a similar role within the electronic security, low voltage, access control, CCTV, intrusion detection, fire alarm, or related industries. Candidates with strong permitting and jurisdictional experience, combined with project scheduling and coordination expertise, are highly encouraged to apply.

Key Responsibilities

• Manage and coordinate installation backlog and active projects
• Contact customers to schedule, confirm, and update installation appointments
• Coordinate technician schedules and project timelines to ensure efficient project execution
• Serve as a primary point of contact for customers throughout the installation process
• Order and track materials, equipment, and parts required for installation projects
• Create, process, and manage purchase orders (POs)
• Support the Installation Manager with day-to-day operational activities
• Monitor project status and ensure project milestones and deadlines are met
• Follow up promptly on customer, vendor, and internal communications
• Maintain organized project documentation and records
• Assist with customer service inquiries and provide project updates
• Support billing, accounts receivable, and administrative functions as needed
• Work closely with technicians, vendors, customers, and internal teams to ensure smooth project execution
• Coordinate permit applications and approvals when required
• Ensure projects comply with applicable local permitting requirements, codes, and jurisdictional regulations

Qualifications

• Previous experience as an Installation Coordinator, Project Coordinator, Permitting Coordinator, or similar role
• Experience within the security integration industry preferred, including:
  • Access Control
  • CCTV / Video Surveillance
  • Intrusion Detection Systems
  • Electronic Security Systems
  • Fire Alarm Systems
• Candidates from related low voltage industries will also be considered
• Strong permitting and jurisdictional experience highly preferred
• Knowledge of local permitting requirements, codes, and regulatory processes
• Strong project scheduling and coordination experience
• Experience managing purchase orders, vendor communications, and material procurement
• Excellent verbal and written communication skills
• Strong customer service skills with a customer-first mindset
• Ability to manage multiple priorities in a fast-paced environment
• Proficiency with Microsoft Office and email communication
• Strong organizational skills, attention to detail, and follow-through
• Ability to work collaboratively with technicians, customers, vendors, and management teams
