Job summary

ProMach, via its HMC Products division, is seeking a Customer Service Representative for our Machesney Park, IL facility. In this on-site role you’ll manage quotations, orders, inquiries, and sales processes while driving customer satisfaction and supporting revenue growth.

You’ll collaborate with Materials, Engineering and Service teams to ensure accurate information transfer and timely delivery, while building lasting customer relationships and resolving issues fast.

Qualifications

• 2+ years in inside sales, customer service, or aftermarket support.
• Experience in manufacturing or industrial equipment is a plus.
• Experience with ERP and CRM systems.
• Strong customer service and relationship-building skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong attention to detail and organizational skills.
• MS Office proficiency, especially Excel, Outlook, Teams.
• ERP/CRM systems such as Syteline and Salesforce preferred.
• Problem-solving and analytical skills.
• Ability to work independently and cross-departmentally.
• Knowledge of automated packaging equipment is preferred.

Responsibilities

• Identify key contacts within customer facilities and maintain high-profile customer contact for quality service.
• Interface with Materials, Engineering and Service teams to ensure accurate information transfer.
• Prepare and process customer quotations for aftermarket parts, services, repairs, and maintenance agreements.
• Provide superior customer service by addressing customer needs timely and updating order status.
• Provide accurate part pricing quotations and order confirmations to support profitability.
• Identify and promote cross-sell and upsell opportunities within existing accounts.
• Follow up on open quotes and convert quotations into sales.
• Maintain accurate customer records, pricing, and sales data.
• Liaise with the AR Department to resolve past-due invoices efficiently.
• Resolve issues regarding orders, deliveries, invoicing, product availability, and warranty.
• Interface with outside vendors to identify, purchase and supply parts.
• Maintain and create price records including pricing of new items.
• Manage multiple priorities, review orders, and provide order status and part numbers to customers.
• Coordinate with operations, service, purchasing, and logistics to ensure timely delivery.
• Develop spare part packages for new systems and advise on stock levels.
• Assist with general departmental operations and special projects.
• Partner with other ProMach companies to capitalize on synergies.
