Job summary

Horizon Health, a subsidiary of Universal Health Services, seeks a Program Secretary to support the Behavioral Health program at Fort Duncan Hospital in Eagle Pass, TX. This inpatient psychiatric unit handles adults and seniors and requires strong admin and HR coordination, including applicant tracking and onboarding.

The Program Secretary will handle daily administrative duties, maintain personnel records, process invoices, manage scheduling, and assist the Behavioral Health Director.

Qualifications

• Bilingual with Spanish is required.
• High school diploma or GED required.
• Bachelor's degree preferred.
• 1–3 years of working experience in a similar role.
• Valid driver's license and use of an automobile.
• Crisis Prevention.
• Keeps up to date on professional literature.
• Maintains effectiveness and certification in required patient management protocols.

Responsibilities

• Answer the phone and prepare correspondence, recurring reports and other periodic or special reports as required.
• Schedules meetings and appointments as appropriate, and greets visitors, patients, and their families. Facilitates special events as needed.
• Coordinates with supervisors and corporate HR during the pre/post-employment process as it relates to employee required processes and documentation. Ensures I-9 and new hire forms are completed/received in a timely manner, and in accordance with regulatory and policy requirements.
• Creates new hire/rehire personnel files, files employee documents, and ensures corporate HR has a copy of all appropriate documents for the employees’ corporate personnel files.
• Maintains schedule for filing court paperwork and hearings. Works closely with court personnel to maintain good relationships.
• Reviews and evaluates all incoming invoices and expense reports to verify accuracy before forwarding to the appropriate recipient.
• Orders all office supplies and oversees all maintenance on office related equipment.
• Provides data entry support as needed. This may include, but not be limited to, HBIPS, CQI, census, training documents, and audits.
• Performs other duties as assigned/required by this position.
