Job summary

Vivo Infusion is seeking a part-time Clinical Service Specialist in Wilton, CT to support infusion center operations. You will manage front-end tasks, scheduling, insurance verifications, and authorizations to ensure smooth patient care and efficient workflows.

The role requires healthcare admin experience, strong communication, and knowledge of medical terminology. Non-exempt, Tue-Thu shifts, with potential local travel to other Vivo clinics.

Qualifications

• High School graduate or equivalent required.
• 2 years of administrative experience in a healthcare environment, required.
• Medical Assistant Certification or Medical Office experience, preferred.
• 1 year working with insurance authorizations, benefits verifications, and billing, preferred.
• Working knowledge of medical terminology, required.
• Active CPR/BLS prior to starting work, required.

Responsibilities

• Manages and supports all front-end operations of the infusion center, including calls, patient greeting, payments, deliveries, and mail handling.
• Reviews cancellations and reschedules treatments; communicates changes to clinical staff; calls to remind patients of appointments.
• Receives deliveries, reviews invoices, coordinates with Clinic Manager for payments, and forwards to Accounts Payable.
• Schedules patients for follow-up infusions with the Patient Care Navigator team.
• Files medical records with referring providers, adhering to HIPAA guidelines.
• Maintains information systems, statistics, and reports as requested by Clinic Manager.
• Assists with clinical inventory management with the Clinical Operations Manager.
• Builds positive relationships with staff, providers, and external partners.
• May travel to other local Vivo clinics to provide admin support.
