Job summary

UMC is seeking an Industrial Project Coordinator in Orangeville, Utah. This non-exempt role supports the Industrial Group across estimating, execution, and closeout, ensuring accurate documentation, smooth communication, and strong coordination with vendors, subcontractors, and clients.

The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced construction environment. Starting pay is $26.44–$33.65 per hour, depending on experience, with eligibility to work in the U.S.

Qualifications

  • Proficiency with MS Outlook, Access, Excel, Word, Adobe, Internet Browser, and Windows Explorer file management.
  • Accuracy and efficiency with administrative and clerical procedures and systems including filing and records management systems.
  • Professionally handle phone calls.
  • Excellent organizational skills.
  • Strong oral & written communication skills.
  • Work effectively as a team with other employees as well as independently.
  • Work effectively with multiple interruptions and manage priorities.
  • Preferred Education and Experience: Associate of Art Degree in Business or 1 year of construction experience work experience preferred.
  • Required Licensing and Other Certifications: Maintain a valid driver's license and satisfactory driving record.

Responsibilities

  • Estimate Support: set up project tracking numbers with Business Development and manage bid folders.
  • Coordinate vendor and subcontractor quotes for materials, equipment, and rentals.
  • Create and maintain job folders; track tools, equipment, and rental assets.
  • Assist with procurement, including purchase orders and supplier coordination.
  • Support subcontractor communication, QA/QC documentation, and submittal/RFI coordination.
  • Maintain document control and align documentation with project requirements.
  • Assist with invoice processing and project financial closeout.
  • Compile final documentation packages for turnover to clients.

Industrial Project Coordinator

Starting Salary Range: $26.44 - $33.65/hour; depending on experience

Position Description

The Project Coordinator provides essential administrative and operational support to the Industrial Group across all project phases-from estimating and execution to closeout. This role ensures effective documentation, communication, and coordination among internal teams, vendors, subcontractors, and clients. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced construction environment. Key Responsibilities
  1. Estimating Support:
  2. Set up project tracking numbers in collaboration with Business Development, approaching each opportunity with curiosity and a growth mindset.
  3. Organize and maintain proposal and estimating folders for active bids.
  4. Upload and manage project documentation during the estimating phase.
  5. Assist Estimators, Project Managers (PMs), Project Engineers (PEs), and Operations staff with bid coordination with accountability and attention to detail to support timely project execution.
  6. Request, track, and follow up on vendor and subcontractor quotes for materials, equipment, and rentals.
  7. Active Project Coordination:
  8. Create and maintain job folders for new projects.
  9. Track tools, equipment, materials, and rental assets.
  10. Assist with procurement, including generating purchase orders and coordinating with suppliers.
  11. Support subcontractor communication and manage subcontractor documentation.
  12. Prepare startup and commissioning packages in accordance with company standards and contract requirements.
  13. Maintain and organize QA/QC documentation, test certifications, and permits, helping turn complexity into clarity.
  14. Assist in tracking fabrication progress, BIM coordination, and VCS deliverables.
  15. Support PMs and PEs with submittal and RFI coordination, ensuring information flows smoothly across the team.
  16. Maintain document control and assist in aligning all documentation with project requirements.
  17. Support invoice processing and project financial closeout.
  18. Project Closeout:
  19. Compile and deliver final documentation packages (e.g., as-builts, test results, weld logs, QA/QC records) ensuring all documentation is thorough and compliant.
  20. Ensure all rental equipment and company-owned tools are returned and accounted for.
  21. Assist with gathering redlines and final reports for turnover to clients with a customer-first mindset.
  22. Team and Process Support:
  23. Maintain up-to-date trade and rental rate documentation.
  24. Support standardization of estimating folders, templates, and tracking tools.
  25. Help ensure contract documentation is organized and current.
Secondary Responsibilities
  1. Assist with developing and updating project schedules using Microsoft Project.
  2. Support the Safety Manager in coordinating site-specific safety plans and weekly safety documentation.
  3. Attend team meetings and document follow-up actions, modeling reliability, professionalism, and a commitment to the team.
