About the role

The Implementation Specialist serves as the project owner throughout the implementation lifecycle and is responsible for developing and managing project plans, milestones, timelines, dependencies, risks, action items, and stakeholder communication from kickoff through successful go-live and project closure. The role requires the ability to independently manage multiple concurrent customer implementations with competing priorities while maintaining clear accountability for project progress and outcomes.

The process of leading the client through the steps of implementation includes gathering information about the client’s business to defining the configuration needs of the client so that the support team can successfully deliver the implementation. This includes defining a successful implementation schedule with the client and ensuring Studycast resources are available to meet this schedule.

The Implementation Specialist proactively identifies risks or dependencies that may impact the project schedule, develop appropriate mitigation plans, and elevate issues early when additional support or decisions are required. Additionally, this position is responsible for acting as client liaison for interface projects and working with the CoreHL7 technical lead.

Key Responsibilities

• Own and manage multiple concurrent customer implementation projects from kickoff through go-live and closure, ensuring milestones, deliverables, dependencies, risks, and timelines are actively managed.


• Develop, maintain, and actively manage project plans, including milestones, target dates, action items, dependencies, risks, and assigned owners.


• Drive project momentum by proactively following up on customer and internal action items and holding stakeholders accountable for agreed-upon deliverables and timelines.


• Identify project risks, delays, scope of concerns, and resource constraints early; develop mitigation plans and elevate appropriately before they impact customer commitments.


• Prioritize and manage a portfolio of implementations at different stages while balancing competing customer needs, deadlines, and internal resources.


• Lead customer project meetings with clear agendas, documented decisions, action items, owners, and next steps.


• Provide clear and accurate project status updates to customers, leadership, and cross-functional stakeholders, including risks, blockers, timeline changes, and required decisions.


• Coordinate cross-functional activities across Technical Services, Configuration, Support, Training, Sales, and other teams to ensure dependencies are completed in support of the implementation timeline.


• Demonstrate strong organizational and prioritization skills, with the ability to independently manage multiple concurrent implementations, competing deadlines, changing priorities, and customer commitments without losing visibility to critical project details.


• Maintain consistent, proactive communication with clients throughout the implementation process to ensure alignment, address concerns, and support a successful implementation.


• Collaborate with the client to ensure the configuration of Studycast technology is to the client’s specifications.


• Understand equipment support and communicate the level of integration with client equipment and all Core Sound Imaging products, proactively.


• Utilize onboarding tools provided by Studycast to reinforce a consistent implementation across the company.


• Provide extraordinary follow up and the highest levels of service during the implementation process to make a lasting positive impression with the client.


• Collaborate cross-functionally with Support, Training, and Sales teams to ensure successful client implementations while fostering a positive and collaborative experience for both internal teams and clients.


• Collaborate with the support team and training teams to create a plan for a smooth knowledge transfer process and a successful go-live.


• Lead the implementation wrap up activities to confirm client satisfaction and define future tasks for the client including the assignment of potential sales and support follow up activities.


• Provide ongoing internal feedback and proactively identify opportunities to enhance processes, workflows, and efficiencies to support continuous improvement of the implementation process.


• Perform additional duties and responsibilities as necessary to support departmental and organizational objectives.

Qualifications

• Bachelor’s degree in a related field, or an equivalent combination of education and relevant experience sufficient to successfully perform the essential duties and responsibilities of the position. Clinical certification and/or experience within the medical device industry is preferred.


• Minimum of 3 years of experience managing customer-facing implementation projects or similar client-focused initiatives.


• Demonstrated experience managing multiple customer-facing projects simultaneously from initiation through completion.


• Strong project management skills, including project planning, milestone management, prioritization, risk management, dependency tracking, issue resolution, and stakeholder communication.


• Demonstrated ability to take ownership of projects, drive next steps, and maintain momentum without requiring continuous direction or follow-up.


• Ability to prioritize competing deadlines and make sound decisions when multiple projects require attention simultaneously.


• Experience coordinating cross-functional teams where project success depends on deliverables from multiple internal and external stakeholders.


• Ability to recognize project risk early, determine appropriate next steps, and elevate effectively when necessary. Experience using project management or work-management platforms such as Asana, Monday.com, Smartsheet, Jira, or similar tools preferred.


• Strong meeting facilitation skills, including the ability to establish objectives, drive decisions, document action items, and ensure follow-through.


• Strong interpersonal skills, with a high degree of self-motivation and ability to work independently.


• Excellent written and verbal communication skills, with the ability to effectively engage, collaborate, and influence stakeholders at all levels of the organization.


• Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint); proficiency preferred.


• Experience developing and implementing training programs.


• Ability to learn and apply new techniques quickly.


• Strong analytical and problem-solving skills.


• Ability to work effectively both independently and collaboratively while managing multiple priorities in a dynamic, fast-paced environment.


• Knowledge of medical imaging and/or Electronic Medical Record (EMR) systems is preferred.
