Practical Farmers of Iowa is hiring an Events Coordinator in Ames with hybrid work options through September 2027. The role supports the operations team, coordinating conferences, workshops, member socials, donor events, and staff gatherings while managing logistics, budgets and vendor relations.

Responsibilities include on-site registration, booth planning for Farm Progress Show, and ensuring timely invoice processing. A strong eye for detail and teamwork is essential.

Qualifications

• Understanding of event management roles and conference coordination.
• Experience with trade shows, outreach booths, conferences and events.
• Strong event planning and logistics coordination skills.
• Experience with event spatial setup.
• Experience matching event types with outcomes.
• Experience creating and managing event budgets.
• Able to juggle many tasks with attention to the big picture.
• Efficient in fast-paced environments and good time management.
• Strong interpersonal and verbal communication skills.
• Able to anticipate and solve attendee and staff challenges.
• Ability to adapt to different software including Microsoft Office, G Suite and Airtable.

Responsabilités

• Plan events to promote awareness of PFI's membership and program opportunities.
• Collaborate with membership team on planning Farm Progress Show and other booths.
• Coordinate staff involvement in outreach booths and onsite logistics.
• Update and adhere to project management timelines and tasks.
• Provide on-site registration and staffing support as needed.
• Coordinate local foods purchases for events where needed.
• Coordinate venue and caterer logistics where needed.
• Independently organize components of PFI's annual conference.
• Provide tech support for events and submit invoices.
• Coordinate onsite visits to PFI office from partners and funders.
• Implement office protocols to keep front office organized and efficient.
• Support phone and office responsibilities and monthly bill processing.
• Manage procurement and handling of PFI branded merchandise.
• Perform other duties to support departments or teams.
