The ideal candidate is organized, detail‑oriented, able to multi‑task in a fast‑paced environment, and demonstrates strong customer service. Office 365 skills (Outlook, Word, Excel, PowerPoint) are expected; prior immigration or law firm experience is a plus.

Qualifications

  • High School diploma or equivalent required; associate or bachelor's preferred.
  • Experience with immigration law or in a law firm is a plus.
  • Strong attention to detail, ability to multi-task, and punctual attendance.

Responsibilities

  • Receive, scan, and enter client information from various governing agencies.
  • Maintain accuracy of client information in the firm’s immigration database and document management system.
  • Prepare filing fee checks and follow up with clients as needed.
  • File and maintain client records per firm policy.
  • Monitor case status and communicate deadlines to paralegals and attorneys.
  • Assist with preparation of client documents for submission to governing agencies.
  • Provide additional administrative support to the department and office as requested.

You will work in an exciting, ever-changing and challenging atmosphere with people who are passionate about immigration. The successful candidate will possess a customer service mindset, be very organized, able to multi-task and possess strong attention to detail.Essential FunctionsResponsible for receiving, scanning, and entering all client information received from the various governing agenciesResponsible for maintaining the accuracy of client information using the Firm’s internal immigration database and document management systemUtilize the immigration database to run reports as requested by attorneysMonitor the status of cases and track expiration dates; communicate deadlines to paralegals and attorneysPrepare filing fee check requests as directed by paralegalsFile and maintain client records as required by firm policyFollow up with clients as needed regarding requests for additional informationAssist with the preparation of client documents for submission to the various governing agenciesWillingness to learn the procedures and processes involved with preparing and submitting immigrant and non-immigrant applicationsWork with the billing and engagement departments to close client mattersDemonstrate the ability to identify and implement improved efficiencies in the current data management processGeneral administrative duties as needed (i.e. copying, scanning, printing)Provide additional administrative support to the department and the office as requestedQualifications/Skills RequiredMust have strong attention to detail and be able to work in a fast-paced team environment.Knowledge of Office 365, including Outlook, Word, Excel, and PowerPoint.Punctual with reliable attendance.Ability to multi-task, and timely respond to deadlines as well as balance workload.Strong interpersonal skills and ability to work well in cooperative, small office environment and communicate with attorneys and support staff on every level.Experience with immigration law and/or working in a law firm is a plus.Educational RequirementsHigh School diploma or equivalent required.Associate or bachelor’s degree preferred.We are an equal employment opportunity employer.
