Job summary

AECOM in the New York City area seeks a Proposal Management Specialist to support our NY Metro marketing team. Hybrid role with in-office presence typically one day per week at the Manhattan office (605 Third Ave).

Responsibilities include managing RFQ/RFP responses, developing win strategies, coordinating content and graphics, and ensuring quality and compliance across proposals. Requires a BA/BS plus 2+ years in marketing/proposal within AEC or equivalent experience.

Qualifications

• BA/BS+ at least 2 years of experience collaborating within a marketing team to lead and support proposal/marketing activity within the AEC industry or demonstrated equivalency of experience and/or education.

Responsibilities

• Manage responses to RFQs and RFPs across multiple disciplines (transportation, water, environment/energy, PM/CM).
• Lead or participate in proposal strategy development and win-plan application within marketing materials.
• Develop proposal outlines, schedules, and manage them for compliance.
• Run proposal team meetings and revisions based on review direction.
• Gather materials from project teams, write/edit/coordinate content for proposals.
• Coordinate graphics with the graphics team (org charts, maps, flow charts, matrices).
• Coordinate with subconsultants to gather marketing materials for submissions.
• Perform QA/QC on proposal materials for grammar, consistency, and detail.
• Execute final layout in InDesign and produce hard copies if needed.
• Update Salesforce with proposal information.
