Job summary

The New York Academy of Sciences is seeking a Program Manager, Fellowships & Professional Learning, to support day-to-day operations, fellow onboarding, and professional development programs for scientists and STEM professionals. The role includes coordinating awards, events, and stakeholder communications to ensure high-quality programming and participant experiences.

The position reports to the Associate Director and involves collaboration across departments, with approximately 20% time

Qualifications

• Experience with project management software such as Asana, Trello, Airtable, or similar platforms.
• Experience with survey platforms such as SurveyMonkey, Qualtrics, or similar tools.
• Experience coordinating virtual and in-person workshops, scientific programs, meetings, symposia, or events.
• Ability to work collaboratively across departments and with external scientific and institutional partners.
• Ability to work independently on assigned responsibilities, exercise sound judgment, and identify issues requiring escalation or guidance.

Responsibilities

• Manage the day-to-day operations of the Leon Levy Fellowships in Neuroscience program, including onboarding, schedules, seminars, mentorship, and reporting.
• Serve as primary contact for fellows and participants, ensuring understanding of requirements and opportunities.
• Coordinate fellowship application, review, and selection processes, including materials, communications, meetings, and records.
• Support the planning and delivery of professional learning and career-development programs for STEM professionals (workshops, seminars, courses, mentorship, networking).
• Coordinate logistics of virtual and in-person programs: scheduling, speaker/participant communications, materials, and post-program follow-up.
• Assist with development and expansion of the fellowships and professional learning portfolios through research, planning, and implementation of new initiatives.
• Maintain accurate program and participant records; monitor milestones and deliverables for administration and funder reporting.
• Provide operational and programmatic support for Award programs: nominations, applications, reviews, and honoree selection.
