Job summary

ICF in Reston, VA, is seeking a Meetings & Events Associate Intern to support planning, coordination, and execution of meetings and events from small internal meetings to large conferences and trainings. The 10-week, full-time internship begins in early June and is hybrid from Reston, VA.

Interns work alongside certified meeting professionals and gain exposure to venue sourcing, budgeting, stakeholder engagement, operational planning, and conference center operations, in a dynamic onsite

Qualifications

• By internship start date, completion of at least 30 college-level credit hours in Hospitality Management, Event Management, Business Administration, Communications, Marketing, Project Management, Tourism, or related field.
• Preferred: completed bachelor’s degree and enrollment verification or 9 credit hours completed in a graduate program related to Hospitality Management, Event Management, Business Administration, Communications, Marketing, Project Management or Tourism.
• Strong organizational and written/verbal communication skills; ability to manage multiple priorities in a fast-paced environment.

Responsibilities

• Support planning and coordination activities for in-person, virtual, and hybrid meetings and events.
• Assist with venue and supplier research, and proposal comparisons.
• Support event logistics including registration, catering coordination, A/V requirements, and meeting materials.
• Participate in planning and operations meetings and document decisions, action items, and updates.
• Assist with budget tracking, expense reconciliation, and event reporting.
• Maintain event records, planning documents, and project files.
• Support conference center operations and onsite event execution as needed.
• Collaborate with internal stakeholders, suppliers, and service providers to ensure successful event delivery.
