Wolters Kluwer is hiring a Customer Service Coordinator (Licensing) on a hybrid basis in the USA. You will handle licensing, payroll tax, sales tax registrations, and nonprofit filings, serving as the primary client contact.

The role requires meticulous compliance management and strong customer service in a fast-paced environment. You will report to the Manager, Customer Service, and collaborate with the Associate Director, Customer Service.

Responsibilities

• Serve as the primary point of contact for clients regarding licensing, registration, and compliance matters.
• Respond to client inquiries via phone, email, and online platforms professionally and timely.
• Provide status updates and guidance throughout filing and registration.
• Build and maintain positive client relationships through proactive communication.
• Escalate complex issues while ensuring client satisfaction.
• Research and process license applications and renewals.
• Review licensing requirements and identify applicable licenses by activity/location.
• Monitor deadlines and renewal requirements to ensure ongoing compliance.
• Maintain records of filings, approvals, and renewal schedules.
• Communicate with government agencies to obtain information and resolve issues.
• Process payroll tax registrations, unemployment tax registrations, and employer accounts.
• Complete sales and use tax registrations with state tax agencies.
• Verify application accuracy and ensure supporting docs are submitted.
• Monitor statuses and follow up with agencies.
• Assist clients with understanding registration requirements and obligations.
• Prepare and submit nonprofit formation documents and related filings.
• Research nonprofit filing requirements at state and federal levels.
• Support clients with obtaining registrations and maintaining compliance.
• Track renewal and annual reporting requirements for nonprofit entities.
