Job summary

Apex Systems is seeking an organized IT Project Coordinator to support the Commonwealth of Massachusetts’ IE&E program from initiation through implementation. The role is based in Quincy, MA with hybrid work options and a duration through 6/30/27, with potential extension.

The ideal candidate has 3–5 years of IT project coordination experience, cross-functional collaboration skills, and strong stakeholder communication.

Qualifications

• 3–5 years of IT project coordination or related tech environment experience.
• Experience with cross-functional teams and vendor deliverables.
• Strong written and verbal communication skills.

Responsibilities

• Coordinate day-to-day IT project activities to keep tasks on schedule.
• Maintain project plans, RAID logs, status reports, and docs.
• Track milestones, risks, issues, decisions, and changes.
• Schedule and facilitate meetings; capture minutes and actions.
• Communicate with business stakeholders, tech teams, vendors, and leadership.
• Monitor progress; identify delays, constraints, risks, dependencies.
• Prepare weekly/monthly status reports and exec updates.
• Assist with budget tracking, resource planning, and procurement.
• Support intake, planning, requirements, and closeout activities.
• Ensure PMO standards and governance are followed.
• Assist with change management and training coordination.
• Coordinate production releases and post-implementation tasks.
• Escalate significant risks/issues to PM in a timely manner.
• Contribute to process improvements and reporting.
• Collaborate with IE&E project teams and vendor contacts.
