Job summary

The Harold Grinspoon Foundation seeks a proactive Grants Associate to support its outgoing grantmaking for PJ Library, JCamp 180, Life & Legacy, and local Western Massachusetts grants. Annually, HGF awards over $14 million in grants to organizations and individuals.

This role coordinates essential activities across the grant lifecycle, ensuring applications, payments, data records, grantee and partner inquiries, and reporting are handled accurately, efficiently, and professionally.

Qualifications

• 2+ years of admin, customer service, or grants operations experience.
• Excellent organizational skills with accuracy and ability to manage multiple priorities and deadlines.
• Strong written and verbal communication, with polished correspondence.
• Ability to handle confidential information with discretion.
• Experience with Salesforce or grant management platforms preferred.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).

Responsibilities

• Coordinate day-to-day grant administration across the lifecycle from invitations to closeout.
• Prepare grant agreements, verify eligibility and tax-exempt status, track terms and deadlines.
• Communicate with applicants and grantees; ensure timely follow-up of materials.
• Work with program teams to implement guidelines and reporting requirements.
• Process grant payments and monitor disbursements; support financial tracking and reconciliations.
• Maintain grant records in Salesforce; produce recurring reports for management.
