Responsibilities

• Assist senior event planners with development and execution of client, corporate, and employee events, including the marquee American Century Championship.
• Track assignments, timelines, deliverables, approvals, and event logistics to ensure on-schedule completion.
• Support creation and maintenance of registration websites and attendee change management.
• Draft, proofread, format, and distribute invitations, confirmations, and itineraries.
• Coordinate hotel rooming lists, arrival/departure details, and transportation schedules.
• Help collect proposals, organize vendor information, and monitor deadlines.
• Maintain event files, approvals, contracts, invoices, and post‑event documentation.
• Track event expenses, reconcile budgets, and escalate discrepancies to senior planners.
• Develop, proofread, order, and distribute signage, name badges, and other materials.
• Provide on‑site support including registration, guest arrivals, and venue logistics.
• Prepare staffing schedules and briefings for event execution.
• Compile attendee feedback and key metrics for post‑event evaluation.
