The role emphasizes organization, cross-functional collaboration, data-driven reporting, and adoption of AI tools to streamline workflows while delivering high-impact experiences across the business.

Qualifications

• Bachelor's degree or equivalent experience.
• Minimum 2 years experience in a corporate or agency environment.
• Experience in an administrative, operations, project coordination, events, or related support role.
• Highly proficient in the entire Google Suite.
• Ability to manage multiple priorities in a fast-paced environment.
• Interest in exploring emerging AI tools to continuously improve daily event operations and data reporting efficiency.

Responsibilities

• Manage multiple projects simultaneously by tracking deliverables, timelines, and key milestones to ensure successful execution.
• Coordinate event registration by creating and managing registration forms, monitoring attendee lists, and maintaining event data across platforms.
• Develop and maintain presentation materials and meeting decks using Google Slides.
• Collect, organize, and maintain project data, event metrics, and reporting using Google Sheets.
• Coordinate travel logistics, including hotel room blocks, transportation manifests, and other attendee travel-related tasks.
• Leverage spreadsheet automation and AI tools within Google Sheets to organize, synthesize, and report on event metrics, attendee attendance, and project budgets.
• Identify opportunities to replace manual administrative tasks with AI-assisted workflows and automated processes to improve turn-around times and project delivery.
• Prepare, pack, ship, and organize event materials and supplies, including lifting and moving materials weighing up to 50 lbs.
• Serve as the primary point of contact for vendor contract and payment processes, coordinating contract execution, purchase orders, invoice submission, payment tracking, and cross-functional communication to ensure timely processing and project continuity.
• Provide ongoing administrative and operational support to ensure the efficient planning, coordination, and execution of global events and experiential marketing activities.
