Job summary

HOK is seeking a Billing Assistant for the San Francisco Accounting team in a hybrid role, with three on-site days each week. You will support client invoicing, maintain financial records, and ensure billing aligns with contract requirements while collaborating with Project Accountants, Project Managers, and Finance staff.

The ideal candidate has a high school diploma and prior accounting or billing experience, strong Excel skills, and excellent communication.

Qualifications

• A high school diploma or equivalent is required.
• Prior accounting, billing, or accounts payable experience is preferred.
• Experience in professional services such as architecture, engineering, construction or consulting is a plus.

Responsibilities

• Assisting Project Accountants with the preparation and processing of monthly client billings.
• Organizing and maintaining project financial data within the firm's accounting system.
• Matching accounting system data with supporting documentation and billing backup materials.
• Modifying billing information to align with client contract requirements and invoicing standards.
• Responding to inquiries from staff, vendors, and clients and communicating financial information to Project Managers and Project Accountants.
• Processing invoices and vouchers and providing general accounts payable support.
• Maintaining accounting and billing records within the firm's imaging and document management systems.
• Supporting the Accounting team with administrative and financial tasks as assigned and contributing to sustainability initiatives.
