Job summary

TOTE Resources in Tacoma, WA is seeking a detail-oriented Accounts Payable Specialist to join our Finance team. You will manage high-volume invoices, maintain strong vendor relationships, and support month-end close while driving process improvements.

This full-time, hybrid role offers four days onsite and one remote day after onboarding, with standard business hours and a focus on accuracy, customer service, and cross-functional collaboration within a growing organization.

Qualifications

• 3+ years of Accounts Payable experience in a high-volume environment.
• Strong knowledge of AP, invoice processing, and account reconciliations.
• Experience with ERP systems or accounting software.
• Proficiency in Microsoft Excel (VLOOKUP, XLOOKUP, formulas, data analysis).
• Strong organizational, analytical, and problem-solving skills.
• Attention to detail and accuracy.
• Ability to manage multiple priorities and meet deadlines.
• Strong written and verbal communication skills.
• Commitment to providing outstanding customer service.

Responsibilities

• Process high-volume invoices accurately and efficiently.
• Review and match invoices to purchase orders.
• Verify approvals and ensure compliance with internal controls, company policies, and procedures.
• Research and resolve invoice discrepancies, payment issues, and vendor inquiries.
• Monitor aging invoices and proactively manage payment deadlines.
• Perform vendor statement reconciliations and resolve outstanding items.
• Assist with month-end close.
• Support annual audits by preparing documentation and responding to audit requests.
• Partner with cross-functional teams to ensure accurate expense reporting and payment processing.
• Provide exceptional customer service to vendors and internal stakeholders.
• Identify and implement process improvements that increase efficiency, accuracy, and compliance.
• Support continuous improvement initiatives within Finance.
