Job summary

TOTE Resources in Tacoma, WA is seeking a detail-oriented Accounts Payable Specialist to join our Finance team. This full-time role focuses on accurate, timely invoice processing, vendor relationships, and month-end close support in a high-volume environment.

You will collaborate with cross-functional teams to ensure accurate expense reporting and compliant payment processing, while driving process improvements and delivering exceptional vendor service.

Qualifications

• 3+ years of Accounts Payable experience in a high-volume environment.
• Strong knowledge of accounts payable, invoice processing and account reconciliations.
• Experience with ERP systems or accounting software.
• Proficiency in Microsoft Excel, including VLOOKUP and XLOOKUP, and data analysis.
• Excellent organizational, analytical and problem-solving skills.
• Attention to detail and commitment to accuracy.
• Ability to manage multiple priorities and meet deadlines.
• Strong written and verbal communication and customer service skills.

Responsibilities

• Process high-volume invoices accurately and efficiently.
• Review and match invoices to purchase orders and verify approvals.
• Ensure compliance with internal controls, policies and procedures.
• Research and resolve invoice discrepancies and vendor inquiries.
• Monitor aging invoices and manage payment deadlines.
• Perform vendor statement reconciliations and assist with month-end close.
• Support annual audits with documentation and responses.
