Job summary

Phillip Jeffries Ltd in Fairfield, NJ, is seeking an Accounts Payable Assistant to join our Finance team. This hybrid role reports to the Assistant Manager of Accounts Payable and focuses on accurate payment processing, vendor relations, and financial integrity.

Based in our Fairfield headquarters, you will work onsite at least three days per week, support invoice processing, reconciliation, payments, and year-end activities, while collaborating across departments.

Qualifications

• Bachelor's degree in Accounting, Finance, or a related field.
• Previous accounts payable, accounting, or finance experience.
• Strong understanding of basic accounting, bookkeeping, and financial principles.

Responsibilities

• Process vendor invoices accurately and timely with proper coding and documentation.
• Review and reconcile vendor statements, identify discrepancies, and partner with internal teams to resolve issues.
• Support weekly check, ACH, and wire payment processes.
• Assist with preparing and maintaining payment documentation and records.
• Help manage international vendor payments and maintain supporting schedules.
• Review and process employee expense reports for compliance with company policies.
• Communicate with vendors regarding payment status, inquiries, and discrepancies.
• Assist with 1099 preparation and year-end reporting activities.
• Generate and analyze accounts payable reports to support financial management.
• Collaborate with Finance, Supply Chain, Logistics, Sales, and IT teams to ensure smooth operations.
