Job summary

Energy Transfer Solutions in Harrisburg, PA, is seeking a Service Coordinator to act as the primary contact for the service department and to coordinate field technicians. You will manage service requests, generate work orders, and liaise with internal teams to ensure timely, high-quality service delivery.

The role requires 3+ years in HVAC coordination/dispatch or similar administrative position, strong organizational skills, and proficiency with Microsoft Office, SharePoint, Egnyte, and FACTS.

Qualifications

• Proven experience in Commercial/Industrial or Residential HVAC or related field.
• 3+ years in HVAC Coordinator/dispatch or similar admin role.
• Strong dependability, adaptability, and teamwork.
• Ability to collaborate and communicate across all levels of the organization.
• Proficient with Microsoft Office, SharePoint, Egnyte, and FACTS; adaptable to new software.
• Ability to learn and navigate equipment manufacturer warranty processes.
• Ability to manage multiple priorities and coordinate technicians in a fast-paced environment.
• Excellent organizational skills and calmness under pressure.

Responsibilities

• Acting as the primary point of contact for the service department, delivering exceptional customer service through phone and email communications
• Learning or honing your skills to assess situations and provide excellent service to our extensive customer base
• Coordinator of the field service technicians
• Liaise between ETS departments to work through service requests & inquiry
• Building professional working relationships with our customer base & manufacturers
• Working closely with the Service Administrator & Service Manager
• Prioritize service requests for customers, service account managers, and equipment sales engineers based on urgency
• Generate work orders in FACTS for repair, PM, warranty, and startups
• Coordinate day-to-day operations of the service technician team, including scheduling and dispatching
• Maintain service startup and PM spreadsheets
• Organize and maintain filing system in Outlook and manage work orders in SharePoint/Egnyte
• Review and finalize technician field repair work orders daily and provide customer updates
• Submit labor warranty claims and track progress
• Coordinate follow-up for parts, incomplete service, and startup projects
• Order and receive service parts through ETS Parts team
• Collaborate with other departments for seamless service coordination
• Provide support to service account managers
