Job summary

Test of Time Plumbing Heating Air & Electrical is hiring a Warehouse Administrator to support our HVAC, plumbing, and electrical operations in Marlborough, MA. This role balances administrative duties with hands-on inventory and fleet management to ensure materials arrive on time and field teams stay supplied.

The ideal candidate has at least 2 years of office experience, HVAC or plumbing familiarity, strong organizational skills, and solid computer abilities.

Qualifications

• Minimum 2 years of administrative or office experience.
• Prior HVAC and/or plumbing experience required.
• Strong organizational skills and attention to detail.
• Advanced computer proficiency and data entry skills.
• Ability to manage multiple priorities simultaneously.
• Strong problem-solving and follow-through skills.
• Valid driver's license and insurable driving record.
• High school diploma or equivalent.
• Excellent time management and prioritization abilities.

Responsibilities

• Enter and manage purchase orders daily.
• Process material requisitions from field personnel.
• Assist with inventory ordering and stock replenishment.
• Research parts, equipment availability, and vendor information.
• Maintain accurate inventory records and documentation.
• Organize and track incoming shipments and warehouse materials.
• Maintain vehicle maintenance schedules and records.
• Track vehicle registrations and renewals.
• Manage vehicle keys and related documentation.
• Assist with GPS tracking system administration.
• Assign and track company tools and equipment.
• Maintain accurate asset records and inventories.
• Serve as the primary point of contact for warehouse phone calls.
• Support technicians and managers with inventory and warehouse requests.
• Process paperwork, permits, and administrative documentation.
• Coordinate occasional deliveries, pickups, and errands.
• Support various operational projects as assigned.
• Help maintain a clean, organized, and efficient warehouse.
• Organize and put away inventory and materials.
• Assist with parts distribution to technicians.
• Support daily warehouse operations and workflow.
