Job summary

Cloud Comfort HVAC in the South Bay Area is seeking a friendly HVAC Customer Care & Scheduling Representative. You will handle calls, schedule service appointments, answer questions, and maintain accurate CRM records to support dispatchers and technicians.

Ideal candidates have at least 1 year in customer service, strong communication, organization, and a customer-first mindset. Bilingual English/Spanish is highly preferred, with a collaborative team-driven environment and growth opportunities.

Qualifications

• 1+ year of experience in customer service, call center, administration, or support
• Excellent verbal and written communication skills
• Friendly, professional, customer-first approach
• Strong organizational skills and ability to manage multiple priorities
• Calm, helpful, solution-focused in fast-paced environments
• Proficient with computers and CRM software, ability to learn new tech
• Strong attention to detail and follow-through
• Team-oriented with strong communication skills
• Bilingual English/Spanish is highly preferred

Responsibilities

• Answer incoming customer calls with professionalism, energy, and a helpful attitude
• Schedule, confirm, and coordinate HVAC service appointments
• Respond to emails, website inquiries, social media messages, Yelp requests, and other online communications
• Explain HVAC services, maintenance plans, and current promotions to customers
• Assist customers with general questions and basic service-related concerns
• Enter, update, and maintain accurate customer information in the CRM
• Coordinate with dispatchers and technicians to ensure appointments are scheduled effectively
• Follow up with customers regarding appointments and satisfaction
• Handle customer concerns calmly and professionally, escalating when needed
• Contribute to a positive, collaborative team environment
