Job summary

All Airs in Kennesaw, GA is seeking a highly organized Commercial Coordinator HVAC to support our HVAC projects from quoting through final billing and closeout. You will prepare quotes, manage vendor docs, COIs, and permits, and coordinate billing and procurement with contractors and customers.

Ideal candidates have experience in commercial HVAC and project administration, strong organizational and communication skills, attention to detail, and proficiency with Microsoft Office and ServiceTitan.

Qualifications

• Commercial HVAC, construction, or project administration experience preferred.
• Experience with quoting, changing orders, billing, purchase orders, and project documentation.
• Strong organizational and communication skills.
• Attention to detail and ability to manage multiple deadlines.
• ServiceTitan experience strongly preferred.

Responsibilities

• Prepare and send commercial HVAC quotes to contractors.
• Manage new vendor documentation, COIs, and permits.
• Administer change orders and coordinate change order billing.
• Communicate project status, updates, and requirements to contractors, customers, and project teams.
• Manage project closeout documentation.
• Prepare and maintain SOVs (Schedules of Values).
• Generate invoices and manage billing administration.
• Prepare complete billing packages and communicate with customers regarding billing.
• Coordinate equipment and material purchase orders.
• Track equipment, materials, and POs in ServiceTitan.
• Maintain accurate project records and follow up on outstanding documentation.
• Coordinate with contractors, vendors, customers, project managers, and accounting to keep projects moving efficiently.
