Position Summary
The Human Resources Representative is responsible for processing biweekly payroll through ADP Workforce Now for multiple company codes while ensuring accuracy, confidentiality, and compliance with organizational policies and payroll procedures. This position also provides administrative support to the Human Resources Department, including recruitment, onboarding, employee records management, leave administration, timekeeping support, and HRIS data entry. The Human Resources Representative serves as a primary resource for employee payroll and attendance inquiries and provides support to Midwest Operating Engineers Fringe Benefit Funds, MOEITS, Local 150 Staff, and MCLCU.
Payroll Administration
- Process biweekly payroll through ADP Workforce Now for multiple company codes.
- Review and audit employee timecards, attendance records, PTO requests, and payroll entries for accuracy.
- Enter and maintain employee payroll information, including wage changes, deductions, direct deposits, and payroll adjustments.
- Research and resolve payroll discrepancies and employee payroll inquiries.
- Generate payroll reports and maintain payroll records and supporting documentation.
- Ensure confidentiality of payroll and personnel information.
Timekeeping & Attendance Administration
- Provide daily ADP support for employee timekeeping and attendance transactions.
- Enter employee call-offs received through the attendance hotline and distribute daily attendance notifications.
- Assist employees and supervisors with timekeeping and payroll-related questions.
Human Resources Administration
- Coordinate candidate communications and interview scheduling.
- Assist with new hire paperwork, onboarding, and orientation activities.
- Maintain employee personnel files and update employee records within ADP.
- Track employee leaves of absence, FMLA documentation, deadlines, and required correspondence.
- Prepare employee communications, including monthly birthday and service anniversary announcements.
- Assist with employee engagement initiatives (EEC), HR events, and wellness programs.
- Order departmental supplies and maintain HR communication boards.
- Assist with the upkeep of the MOE Fitness Center/Gym.
- Perform other duties and special projects assigned by the Human Resources Manager and/or the Human Resources Generalist.
Education & Experience
- High School Diploma or equivalent required; Associate degree preferred.
- Minimum two (2) years of payroll processing experience required.
- Minimum two (2) years of Human Resources or administrative support experience preferred.
- Experience with ADP Workforce Now strongly preferred.
- Working knowledge of payroll, timekeeping, and HRIS systems.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Strong attention to detail and accuracy.
