Wellesley Family Care is a thriving primary care practice based in Needham, Massachusetts. We are a private (independent) practice affiliated with Mass General Brigham with a focus on individualized evidence-based care for the whole family. We highly value teamwork and collaboration and have built a team culture of safety, competence, and fun. We currently have twenty-two primary care providers on our team and have a strong growth trajectory into new business and practice initiatives. We are looking for a detail-oriented, collaborative Human Resources & Recruiting Manager with hands-on HR administration, recruiting, and employee support experience to join our practice.

Position Summary

The Human Resources & Recruiting Manager oversees day-to-day human resources and recruiting administration with a strong focus on recruiting, onboarding, employee benefits, employee records, leave administration, and employee support. This position coordinates the recruiting process from job posting and candidate sourcing through screening, interviewing, offers, and onboarding; manages benefits enrollments and de-enrollments for health, dental, vision, life insurance, FSA, DCFSA, and COBRA; uses Paylocity for recruiting, onboarding, benefits, and document management; coordinates FMLA and other leave administration; maintains accurate employee records; and supports HR policies, procedures, employee relations, and special projects in partnership with leadership and the HR Elite Representative. The position also supports marketing initiatives and internal communication efforts in partnership with leadership.

Essential Functions
  • Manage employee benefits, including health, dental, vision, life insurance, FSA, DCFSA, and COBRA enrollments and de-enrollments.
  • Coordinate full-cycle recruiting, including job postings, candidate sourcing, resume screening, phone screens, interview coordination, reference checks, offers, and onboarding.
  • Partner with practice leadership and department managers to identify staffing needs, clarify position requirements, and maintain an active recruiting pipeline.
  • Create and maintain job descriptions and job postings, monitor candidate flow, and help identify recruiting approaches to support timely hiring.
  • Coordinate a consistent candidate experience and ensure pre-employment and onboarding requirements are completed accurately and on time.
  • Maintain and update employee records, databases, personnel files, and HR documentation with a high level of accuracy and confidentiality.
  • Utilize Paylocity and other HR systems for recruiting, onboarding, benefits administration, employee records, and document management.
  • Coordinate FMLA and other leave administration, including required employee documentation, tracking, and communication.
  • Work closely with the HR Elite Representative and leadership team on employee relations, compliance questions, policy guidance, special projects, and HR initiatives, escalating complex matters as appropriate.
  • Support compliance with company policies and applicable federal and Massachusetts employment laws by maintaining required documentation and coordinating with leadership and the HR Elite Representative.
  • Assist with developing, updating, communicating, and implementing HR policies and procedures in partnership with leadership and the HR Elite Representative.
  • Serve as a resource for employees and managers regarding routine HR processes, benefits, policies, onboarding, and general employee questions, and coordinate additional guidance when needed.
  • Support performance management processes, training and development initiatives, employee engagement, and additional HR projects as needed.
  • Support marketing initiatives and internal communication efforts in partnership with leadership.
