As our HR Manager, you will support and coordinate all HR functions including organizational development, workforce planning, evaluation of staffing needs, and health/benefits management. You will be a leader in cultivating our company culture based on trust, empowerment, collaboration, and inclusion. Candidates must be willing to commute to the Canton Office and in this role, you will report to our Vice President.
Responsibilities
Payroll administration
- Responsible for processing semi-monthly, bi-weekly, and monthly payroll for all entities in collaboration with accounting payroll processor.
- Monitors and reconciles interfaces between payroll and other systems such as 401k, health savings accounts, etc.
- Makes recommendations for payroll related policies. Provides training as needed (i.e. managers, staff) to ensure compliance and utilization of tools.
- Work with accounting and provide all necessary payroll and general ledger reports in a timely manner
- Prepares and maintains employee files, assuring accuracy, compliance, and confidentiality.
- Ensures employees are properly profiled and in compliance with the Fair Labor Standards Act (FLSA).
- Works with HRIS partner to obtain relevant state unemployment insurance (SUI) and state income tax withholding (SITW) numbers.
Benefits administration
- Is the benefits expert. Administers all employee and voluntary benefit programs such as medical, dental, vision, disability, and 401k retirement programs, I-9/E-verify processing, workers’ compensation reporting and leave administration.
- Provides in-depth benefits presentation for all new hires during the onboarding process. Distributes enrollment materials and determines eligibility.
- Assists employees regarding benefits claim issues and plan changes. Responds to benefits inquiries on plan provisions, benefits enrollments and status changes. Enrolls employees with carriers and processes life status changes.
- Works with HR benefit partners for escalated support needs, including but not limited to : plan design questions, claims administration and appeals, COBRA, 401k loans and withdrawal inquiries, and HRIS data integrity.
- Prepares and sets up open enrollment meetings designed to help employees obtain information and understand company benefits.
- Works with benefit brokers to conduct annual benefits review, providing census data as needed, administers open enrollments setup and reporting in benefits system.
- Ensures the accuracy of all benefit enrollments and provides vendors with accurate eligibility information. Completes monthly carrier invoices reconciliation. Updates HRIS database with new and changing information ensuring accuracy and integrity of information.
- Completes all annual reporting for employee benefits such as ACA, PCORI, 401k annual testing, and workers compensation to ensure compliance.
- Develops in-depth understanding of benefit system and all carrier enrollment systems and websites. Create reports as requested.
Onboarding
- Administers background checks and ensures all pre-employment requirements are completed.
- Manages HRIS onboarding process and maintains accurate onboarding records.
- Oversees the onboarding schedule and collaborates with hiring managers to ensure a smooth transition for new hires to ensure new teammates are fully welcomed and integrated into PLAE’s culture.
- Communicates new hire announcements to the company
- Updates PLAE systems related to organizational structure to ensure accurate alignment of roles, reporting relationships, and responsibilities.
- Oversees recruiting platforms and mediums to attract top talent for approved open roles.
- Partners with area managers on recruiting activities including job postings, candidate screening, interviews, and offer letter preparation.
- Participates in interviews as needed and ensures a consistent and professional candidate experience.
General HR Duties
- Respond to employment verifications and surveys as needed.
- Ensure all required reporting, forms, and employment posters are up to date and maintained accurately.
- Participates in developing Human Resource department goals, objectives, and systems.
- Provide consultative support and partnership to management to address operational and talent issues and proactively translate business needs into creative HR solutions
- Perform associate relations activities including counseling on conflict resolution, performance issues, disciplinary action, assessment, and processing of termination requests. Conduct investigations with clear documentation and follow-through. Respond and/or assist with EEOC/legal claims.
- Facilitate the deployment, delivery and change management of existing and new HR programs, processes, and policies to ensure business understanding and adoption
- Resolve associate concerns in a timely manner and in a way that builds trust and credibility
- Recommend create ways to improve the associate experience and enhance our high performance, results oriented culture
- Acute ability to identify and analyze trends and formulate data-driven recommendations resulting in measurable value and maximum operational effectiveness
- Advise, coach and guide management to improve work relationships and offer solutions which result in improved effectiveness and engagement of their teams and team members
- Owns the creation, distribution, tracking, and secure storage of key HR documents including (but not limited to) offer letters, compensation plan letters, employee role change letters, and annual W-2 forms.
- Manages the employee performance review process including design, communication, distribution, and tracking of review cycles and compiles review results and supports leadership in performance-related follow-up actions.
- Oversees company-wide HR communications related to new hires, departures, role changes, and other employee lifecycle updates.
- Oversees employee handbooks for all company entities, including regular updates, policy alignment, posting, and distribution to ensure compliance and consistency.
- Oversees the design and implementation of employee growth and development processes, including career pathing, training initiatives, and professional development opportunities aligned with business and individual goals.
- Oversees offboarding activities, including conducting exit interviews, sharing relevant feedback with appropriate leadership, coordinating benefit transition information, and partnering with IT to ensure timely recovery of company equipment.
Qualifications
As our ideal candidate you will have at least 5 years of relevant experience, credentials and skills including:
- Bachelor’s degree in related field, with focus/specialty in Human Resource Management. Professionally certified in Human Resources or Payroll Management (PHR, SPHR, SHRM-CP, or CPP)
- Five years of experience in human resources with a focus on payroll and benefits administration.
- Knowledge of human resource laws and regulations. Knowledge of payroll administration.
- Knowledge of benefits programs including health insurance, long-term disability programs, workers’ compensation insurance, unemployment regulations, life insurance, 401k, COBRA, etc. Understanding of human resource policies and programs. Thorough knowledge of state and federal regulations related to payroll and benefits administration.
