Responsibilities

  • Coordinate laptop, technology, and equipment requests for new employees and contractors.
  • Schedule and coordinate first-day safety orientations and site onboarding activities.
  • Review and verify paid-time-off allocations for applicable employees.
  • Maintain accurate onboarding records within HR systems.
  • Coordinate annual employee physical examinations and compliance tracking.
  • Assist with organizing first-day orientation activities and access management.
  • Ensure new hires and contractors complete onboarding, safety, screening, and access requirements.

Job description

Petroplan is recruiting for a Human Resource Generalist on behalf of a US-based LNG Operator.

The HR Generalist provides administrative and operational support to the Human Resources team supporting a large-scale industrial project or operating facility. This position is responsible for coordinating key employee lifecycle activities, with a primary focus on onboarding, pre-employment requirements, compliance programs, orientation, and HR administration.

The successful candidate will be highly organized, detail-oriented, and service-oriented, with the ability to manage multiple time-sensitive processes while maintaining confidentiality and accuracy. This role requires frequent coordination with employees, candidates, contractors, vendors, and internal departments.

Key Responsibilities
  • Manage the administrative onboarding process for new hires, including entering candidate information into applicable HR systems and ensuring all required documentation is completed accurately and on schedule.
  • Coordinate pre-employment screening activities, including drug testing, physical examinations, required documentation, and candidate communications.
  • Prepare and distribute pre-employment instructions and first-day communications once required screening and clearance activities have been completed.
  • Coordinate laptop, technology, and equipment requests for incoming employees and contractors to ensure necessary resources are available prior to their start date.
  • Schedule and coordinate first-day safety orientations and other required site onboarding activities for contractors and employees.
  • Review and verify paid-time-off or vacation allocations for applicable employees to ensure alignment with employment and offer documentation.
  • Maintain accurate employee and onboarding records within HR systems and other applicable databases.
  • Coordinate annual employee physical examinations, including scheduling, communications, documentation, and compliance tracking.
  • Support recurring random drug and alcohol testing programs by coordinating with third-party vendors, maintaining testing schedules based on employee work assignments, and monitoring completion.
  • Assist with organizing and facilitating first-day orientation activities, including employee badges, facility access, internal notifications, and coordination with various departments.
  • Ensure new hires and contractors have completed all required onboarding, safety, screening, and access requirements prior to beginning work.
  • Maintain accurate, confidential, and well-organized HR documentation and records.
  • Provide general administrative support to the Human Resources team.
  • Assist with HR projects, process improvements, and other duties as assigned.
