Job description

The HR Coordinator serves as the on-site HR representative for MIA operations, supporting operations management and hourly team members while fostering a positive, engaged workplace culture. This position is ideal for a proactive, detail-oriented individual who is eager to learn, grow, and take on diverse responsibilities across HR and daily operations. The role supports the effective administration of HR programs, policies, and processes while contributing to a positive employee experience and the smooth operation of the business.

The HR Coordinator should be comfortable wearing multiple hats, taking initiative, building strong relationships, and embracing new challenges in a fast-paced operational environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • On-site HR contact, responding to general employee inquiries regarding policies and procedures and escalating complex or sensitive matters to the Corporate HR Manager or appropriate personnel.
  • Facilitate new hire orientation and the end-to-end onboarding process, including I-9 verification, onboarding paperwork, employee file setup, badging and access coordination, and providing new hires with guidance on company expectations, policies, and procedures.
  • Build strong relationships across locations to foster a positive, engaged workplace culture and promote positive employee and labor relations while ensuring consistent application of HR policies and procedures in accordance with corporate guidelines.
  • Support full-cycle recruitment by posting job openings, attending career fairs, coordinating interviews, tracking applicants, preparing offer letters for hourly associates, and administering pre-employment requirements, including drug testing, background checks, airport badging, and WOTC.
  • Track attendance and time-off requests, including vacation, sick leave, and leaves of absence, and verify timekeeping records to support accurate payroll processing and resolve discrepancies.
  • Support benefits administration, including new hire enrollment and open enrollment activities.
  • Maintain and safeguard confidential employee records and documentation, including employment, benefits, compensation, and personnel records, in HRMS systems and in accordance with company policy.
  • Coordinate confidential HR investigations and support the Corporate HR Manager and General Manager in addressing employee relations matters and other HR issues.
  • Perform general HR administrative duties, including generating reports, processing employee record changes, maintaining logs and checklists, and ensuring HR forms and documentation are current and organized.
  • Perform other HR-related duties and ad hoc assignments as needed.
QUALIFICATIONS
Education & Experience
  • Associate’s degree in Human Resources Management, Business Administration, or a related field preferred; an equivalent combination of education and relevant professional experience will be considered.
  • Minimum of two years of relevant human resources experience preferred.
  • Demonstrated experience successfully onboarding and orienting new hires.
  • Coursework toward an HR certification preferred, or demonstrated knowledge of applicable HR laws, regulations, and best practices.
  • Solid knowledge of HR principles, practices, and processes.
Communication & Interpersonal Skills
  • Strong oral and written communication skills, with the ability to read, comprehend, and communicate information contained in instructions, correspondence, policies, and procedures.
  • Excellent interpersonal and customer service skills, with the ability to interact professionally and effectively with employees, applicants, management, and other stakeholders.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
Technical & Systems Proficiency
  • Computer proficiency, including Microsoft Excel, Word, Outlook, and Teams, as well as experience with word processing, spreadsheet, database, and HRIS systems.
  • Ability to quickly learn and effectively use new technology platforms, business systems, and reporting tools adopted by NewsLink or required by airport management.
Airport-Specific Requirements
  • Ability to satisfy all MIA badging, credentialing, security, and access requirements.
In-Person Work Requirement and Availability

This is an in-person position based at Miami International Airport. The HR Coordinator must maintain an active, visible presence throughout the operation, engaging directly with managers and employees across all shifts and locations; the role is not designed to be performed remotely or managed primarily from an office.

  • Maintain a flexible schedule based on business needs, including early mornings, evenings, weekends, holidays, special events, and periods of irregular airport operations, adjusting hours as necessary to support staffing, business needs, compliance requirements, and operational priorities.
WORK ENVIRONMENT AND PHYSICAL DEMANDS

This position operates in both administrative and active operational environments, including offices, retail units, restaurants, and airport terminals. The role requires regular movement throughout the operation and on-site attendance.

The physical demands described below are representative of those required to perform the essential functions of the position, with or without reasonable accommodation. The employee must be able to:

  • Stand and walk frequently for extended periods and sit for extended periods while performing administrative responsibilities.
  • Occasionally lift, carry, or move equipment, supplies, and other items weighing up to 15 pounds.
