We're searching for a Human Resources Assistant to support our HR Consulting Services team. This position involves a combination of HR-related tasks, administrative duties and project coordination. The HR Assistant will ensure all HR tasks are completed accurately and on time.
Work location: Fully remote with priority given to applicants living in the southeastern United States.
Required Qualifications:
- Bachelor's degree or equivalent experience.
- 2+ years of experience in human resources or related field.
- Proficient with Microsoft Office Suite.
- Knowledge of federal, state, and local employment law.
- Knowledge of HRIS and Payroll Systems.
- Understanding of HR regulations, functions, and best practices.
- Excellent verbal and written communication skills.
- High degree of initiative with the ability to think proactively and problem solve and ability to perform duties accurately and efficiently with minimal supervision.
- Attention to detail with strong organizational and time management skills.
- Ability to maintain the highest standards of confidentiality, professionalism, ethics, and a positive attitude.
In this role you will be responsible for:- Assisting HR consultants with HR-related projects and tasks to include:
- Creating, updating, and implementing employee handbooks and HR policies and procedures for clients, ensuring alignment with their business objectives
- Assisting in the recruitment process by posting job openings, screening resumes, scheduling interviews, and coordinating pre-employment checks (e.g., background checks, reference checks).
- Research HR topics, updates and federal and multi-state compliance changes to keep clients up to date with ever-changing compliance and workforce climate.
- Maintaining client records, ensuring that all HR documentation is compliant with legal and company standards.
- Providing support to HR Consultants during client audits or compliance reviews by gathering necessary documentation and ensuring timely submission.
- Participates in developing and implementing HR strategies that meet client needs and drive business objectives.
- Supporting the administration of client employee benefits programs, including renewal, enrollment, changes, terminations, and responding to benefits-related inquiries.
- Assisting with Client performance management process and programs.
- Coordinating onboarding activities for client new hires, including preparing orientation materials, assisting with the completion of new hire paperwork, and conducting orientation sessions.
- Coordinating offboarding activities, including conducting exit interviews and processing termination paperwork.
- Assisting with client-related administrative matters as necessary.
- Using knowledge of the appropriate HR policies and best practices, serve as a point of contact for designated clients, accurately addressing routine HR inquiries and escalating more complex issues to senior HR consultants.
- Prepare and distribute emails to clients with updates and communications, such as HR-related legislation changes, new forms, and best practices tips.
- Support HR projects, such as client engagement initiatives, HR system implementations, and HR process improvements.
- Assist in the development and delivery of HR training programs for clients including creating training materials and scheduling sessions.
- Track and report on client engagement and satisfaction metrics, providing insights to the HR team for continuous improvement.
- Update and generate reports on key HRS metrics including client growth, churn rate, budget, and client related reports, such as turnover rates, time-to-hire, and employee satisfaction.
- Monitor HR trends and provide insights to HR consultants and clients to help inform decision-making.
- Assist in the development of dashboards and other tools to track HR performance and client satisfaction.
- Provide day-to-day administrative support to the HR team, including scheduling meetings, managing calendars, and organizing travel arrangements.
- Prepare and maintain electronic files and folders, including in Monday.com.
- Prepare and maintain engagement letters, proposal documents and coordinate annual renewal process.
- Collaborate with other JMA and JMCo team members as needed.
- Make recommendations for process improvements to continuously improve overall efficiency and client service.
- Participate in the development of company goals, objectives, and processes.
