Job description

Position Overview:

Oregon Provider is seeking a highly organized, dependable, and professional Human Resources Assistant to support the Agency’s hiring, onboarding, compliance, employee complaints, offboarding, and bookkeeping processes. This position works closely with the Agency Director, Human Resources Manager, and Compliance Manager to help ensure HR and administrative processes are completed accurately, professionally, confidentially, and on time.

Hiring and Onboarding Coordination
  • Confirm interviews
  • Send reference and background check forms
  • Complete and document reference checks
  • Coordinate background checks
  • Send orientation emails
  • Send Monday orientation communications
  • Assist new hires with downloading and setting up required apps
  • Navigate multiple software platforms, apps, and digital documentation systems
Offboarding Support:
  • Support the structured offboarding process
  • Ensure exit steps are completed accurately
  • Upload completed exit packets into Payroll and Taxes under Current Payroll
  • Scan employee badges into Google Drive
  • Shred physical badges
Systems and Documentation:
  • Maintain accurate documentation in Google Drive, BambooHR, Workforce, and Adobe
  • Maintain complete and organized employee files
  • Ensure employee documentation is accurate, current, and properly uploaded
  • Communicate effectively using WhatsApp and internal systems
  • Maintain a high level of confidentiality with employee information
Qualifications
  • Prior experience in administrative support, onboarding, offboarding, and bookkeeping preferred
  • QuickBooks experience required, with the ability to review and clear transactions, reconcile accounts, identify and correct discrepancies, and maintain clean, accurate, and organized books
  • Strong organizational skills with excellent attention to detail and accuracy
  • Consistent follow-through and the ability to complete tasks from start to finish
  • Excellent written and verbal communication skills
  • Ability to independently manage multiple responsibilities, timelines, and details
  • Confident navigating technology, including QuickBooks, Google Drive, BambooHR, Workforce, WhatsApp, Adobe, apps, and other digital systems
  • High level of professionalism, discretion, and confidentiality when handling employee and financial information
  • Reliable, punctual, and able to work fully in person
  • Flexible and able to adapt to changing job duties and priorities
  • Able to remain calm, professional, and solution-focused in stressful or fast-paced situations
  • Working knowledge of website maintenance and basic website updates preferred
