Role Purpose

The Human Resources Assistant supports the day-to-day operations of the HR function by providing administrative and clerical assistance across a range of activities, including recruitment, onboarding, employee records management, benefits administration, and HR compliance. This role ensures accuracy, confidentiality, and timely completion of HR processes while serving as a key point of contact for employee inquiries. By supporting both employees and HR leadership, the HR Assistant contributes to creating an efficient, employee-focused, and compliant HR environment that aligns with organizational goals.

Main Accountabilities

  • Be the key point of contact for executives, representing them professionally and building strong relationships with internal teams and external partners.
  • Own calendar management, coordinating meetings, events, and priorities to keep executives organized and focused on what matters most.
  • Prepare polished, high-impact materials, including presentations, briefing books, letters, and reports, that help drive business decisions.
  • Conduct research and gather insights on internal and external topics to empower executives with the information they need.
  • Keep critical documents, correspondence, and records organized and easily accessible, both digitally and physically.
  • Manage incoming communications, prioritize messages, and ensure timely, thoughtful responses.
  • Coordinate conference calls and virtual meetings, including agendas and supporting materials, to ensure every interaction is seamless.
  • Arrange complex travel plans, craft detailed itineraries, and manage expenses, making every trip stress-free and efficient.
  • Collaborate with other executive assistants and teams to provide seamless, cross-functional support across the organization.
  • Process invoices and support financial administration with accuracy and efficiency.
  • Maintain and update strategic contact lists to strengthen business relationships and networking opportunities.
  • Plan and execute events, from intimate team gatherings to large-scale business engagements.
  • Take ownership of special projects and other administrative initiatives, making a meaningful impact on the executive office and the broader organization.

Knowledge, Skills and Experience

  • Associate’s degree preferred; relevant administrative experience will also be considered.
  • Minimum of three years of administrative experience, preferably supporting executives or senior leaders.
  • Exceptional organizational skills with a strong attention to detail and commitment to accuracy.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and confident navigating digital tools and online research.
  • Ability to work independently, take initiative, and manage multiple priorities in a fast-paced environment.
  • Adaptable and quick learner, able to perform effectively under pressure and with limited guidance.
  • Maintains composure in high-pressure situations and demonstrates professional judgment at all times.
  • Strong interpersonal skills, with the ability to build relationships, maintain confidentiality, and handle sensitive matters tactfully.
  • Highly dependable, punctual, and committed to delivering excellence.
  • Outstanding communication skills, both written and verbal, with a customer-focused mindset.
