Job summary

CECO’s Houston office is seeking an HR Administrator to support daily HR operations, assist with recruitment, onboarding, and employee records management while ensuring confidentiality.

The role requires strong communication, organizational skills, and knowledge of HRIS/ATS; local in-office work M-F 8-5; sponsorship not available; minimum 3 years’ experience preferred.

Qualifications

Responsibilities

  • Maintain employee records in HRIS with accuracy.
  • Prepare HR reports and metrics as requested.
  • Provide HRIS support for recruiting and onboarding processes.
  • Maintain confidentiality of HR records and sensitive information.
  • Coordinate safety reports and attendance tracking.
  • Support HR initiatives and company events.

POSITION SUMMARY:

The Human Resources (HR) Administrator provides administrative support for the daily operations of the Human Resources department. This role is responsible for assisting with recruitment, onboarding, employee records management, compliance, and general HR support while ensuring confidentiality and accuracy in all HR processes.

KEY POSITION ACCOUNTABILITIES:
  • Serve as the first point of contact for all employee & candidate inquiries regarding HR – hiring, onboarding, policies, procedures and other payroll or benefits items.
  • Facilitate full-cycle onboarding by preparing and collecting new-hire documentation, conducting New Hire Orientation, and ensuring onboarding tasks are completed in a timely manner.
  • Coordinates pre-employment requirements, including background checks, drug screens, health assessments, and employment verifications.
  • Ensures timely I-9 employment verification and E-Verify compliance.
  • Assist hiring managers throughout the recruiting process, including job description development, posting job openings and reviewing resumes.
  • Schedules phone screens and interviews and maintains communication with candidates.
  • Add and maintain employee records within the HRIS system, ensuring accuracy of employee information and onboarding documentation.
  • Prepares reports, spreadsheets, and HR metrics as requested.
  • Provide HRIS support and troubleshooting assistance relating to recruiting, onboarding, and employee records.
  • Maintains compliance with federal, state, and local employment laws and company policies.
  • Assist with process improvements and workflow enhancements relating to recruiting and onboarding within the HRIS system.
  • Maintains confidentiality of employee information and other sensitive HR records.
  • Prepare safety reports, track safety meeting attendance and test completion, and maintain accurate records and logs.
  • Coordinates employee recognition programs, Safety Incentive Programs, training sessions and other company events.
  • Coordinate annual uniform order & distribution and maintains accurate records with payroll.
  • Provide administrative and project support for the HR Department and performs other related duties as assigned.
SKILLS AND QUALIFICATIONS:
  • Resourceful and proactive in resolving issues.
  • Professional in both behavior and appearance.
  • Effective communication, including writing, speaking, and active listening. Excellent customer service skills.
  • Strong organizational skills with high attention to detail.
  • 3+ years of Human Resources, safety, or project administrative experience preferred.
  • Knowledge of employment laws, HR best practices, and HRIS systems.
  • Experience with HRIS, applicant tracking systems (ATS), and payroll systems or other HR or safety related databases.
  • Ability to multi-task and manage time effectively to meet deadlines.
  • Proven ability to work effectively and positively with diverse groups, cultures and individuals, including basic conflict resolution skills.
  • Regular in-office attendance required to collaborate with internal teams and departments
  • Ability to support and facilitate HR department initiatives.
  • Ability to maintain confidentiality and exercise sound judgment.
MINIMUM EDUCATION:
  • Associates or Bachelors degree in Human Resources, Business Administration, or a related field preferred.
  • SHRM-CP, PHR or other HR certification or training is a plus.
MINIMUM EXPERIENCE:

A minimum of 3 years’ experience in an administrative field

PHYSICAL REQUIREMENTS:
  • Regular and reliable in-office attendance is required.
  • Ability to sit for extended periods while managing multiple tasks simultaneously.
  • Exert up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or up to 5 pounds constantly to move objects.

This position is offered on-site at our Houston Corporate office. The position works full-time, M-F 8AM -5PM with minimal overtime. Local candidates only, no relocation offered at this time. Candidates must be legally authorized to work in the United States. CECO is not able to sponsor employment visas for this role.
