HR & Recruitment Coordinator

Chicago, IL (Hybrid)

Mon/Fri - Remote

We are seeking an organized, detail-oriented, and proactive HR & Recruitment Coordinator to support various aspects of our employee lifecycle process. This role will involve recruiting, onboarding, employee relations, and administrative tasks to ensure smooth operations within the HR department. The HR & Recruitment Coordinator will work closely with managers, employees, and executive team members to maintain efficient workflows and contribute to a positive employee experience.

Key Responsibilities:

Recruitment & Candidate Management:

  • Create and post new job requisitions based on manager requests and EMPIST needs.
  • Review candidate applications and conduct screening calls, logging notes for manager review.
  • Coordinate all stages of the interview process through the ATS (Rippling).
  • Create and extend job offers (verbal and written).
  • Manage LinkedIn Recruiter account, including posting, advertising, and maintaining job requisitions.
  • Source for key positions (passive and active talent) utilizing a variety of methods (InMail, calls, messages, job fairs, marketing campaigns, etc.).
  • Perform reference checks for candidates as required.
  • Order and review background check reports post-offer.

Onboarding & Employee Lifecycle Management:

  • Conduct new employee onboarding, including first-day employee orientation/introductions, while ensuring that all necessary materials and information are in place.
  • Help manage time off policies and conduct employee surveys (e.g., exit, milestone check-ins, and pulse surveys).
  • Report and act on new hire satisfaction ratings and feedback.
  • Coordinate onboarding and offboarding processes, ensuring all relevant documents are uploaded to the HRIS.
  • Launch yearly employee review cycles through the Performance Management System (15Five) and meet with managers following the cycle to track employee progress.

HR Administration & Communications:

  • Assist internal marketing team in updating the Life Page on LinkedIn EMPIST account.
  • Track and report on HR KPIs, providing reports at Quarterly All Hands meetings.
  • Update employee records in HRIS for promotions, title changes, and pay adjustments.
  • Coordinate new hire training with the LMS admin and assist in recording training materials if needed for HR processes.
  • Announce birthdays, work anniversaries, and reminders during the Daily Success Call and through internal communication channels.
  • Manage workflows in Rippling (HRIS), including onboarding, offboarding, and other HR-related processes.
  • Place work orders for visitors, badges, and maintenance.
  • Ensure that emergency procedures are in place for Chicago HQ.
  • Track employee referral bonuses.

Strategic Efforts:

  • Work closely with Management and Executive team members to assist in coordination of high impact quarterly and annual initiatives.
  • Develop, roll out, and update processes and procedures relating to HR and overall people management.

Required Skills & Qualifications:

  • 3+ years in Recruitment Coordination/Talent Acquisition and/or Human Resources.
  • Experience recruiting for IT and/or Managed Services.
  • Experience with LinkedIn Recruiter and other recruiting tools.
  • Experience with Rippling HRIS/ATS preferred.
  • Experience with 15Five for performance management preferred.
  • Knowledge of employee lifecycle management and related processes.
