Job summary

Walbec is seeking an HR Project Assistant to manage the end-to-end onboarding for field employees, ensuring system setup, asset provisioning, and compliance from offer to onboarding completion. You will be the main point of contact for new hires and hiring managers, coordinating with HRIS, payroll, benefits, safety, and asset teams to keep processes smooth and compliant.

Qualifications

• Bachelor's degree in HR, business administration, or related field required.
• 2+ years experience in HR operations or onboarding.
• Proficiency with HRIS platforms.
• Strong understanding of compliance requirements.
• Excellent organizational and project management skills.
• Detail-oriented with strong follow-through capabilities.

Responsibilities

• Manage end-to-end onboarding for field employees from offer to completed onboarding.
• Process and validate employee data entry across HRIS platforms.
• Configure system access and setup across required platforms.
• Manage payroll system setup and benefits enrollment.
• Coordinate time and attendance system access.
• Set up project management and safety compliance systems.
• Coordinate procurement and delivery of equipment (mobile devices, laptops, tools).
• Process safety equipment and uniform requests.
• Manage vehicle assignments where applicable.
• Coordinate access cards and key distribution.
• Track asset provisioning timelines.
• Initiate and track drug screening processes.
• Process motor vehicle reports and background checks.
• Verify required certifications and licenses.
• Ensure completion of safety documentation and compliance tracking.
• Process onboarding request forms and maintain stakeholder communications.
• Send welcome communications and first-day instructions.
• Coordinate orientation schedules and provide status updates.
