Job summary

The Big Blue Box in Houston, TX seeks an HR Generalist & Office Manager to manage the employee lifecycle from onboarding through offboarding, maintain records, coordinate recruiting, support benefits and payroll, and help enforce policies in a fast-paced environment.

You will also oversee day-to-day office operations, including supplies, vendors, facilities, meetings, and administrative support, while serving as a approachable first point of contact for staff.

Qualifications

  • 2-4 years of experience in Human Resources, office administration, or a related field.
  • Strong organizational, time-management, and prioritization skills, with the ability to meet deadlines.
  • Excellent bilingual (English, Spanish) written and verbal communication and interpersonal skills, with the ability to work effectively with employees at all levels of the organization.
  • Strong attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise good judgment.
  • Proficiency with Microsoft Office, Adobe, and large language model (LLM) platforms.
  • Ability to work independently while also functioning effectively as part of a team.

Responsibilities

  • Serve as the first point of contact for employees on routine questions regarding HR policies, benefits, payroll, timekeeping, employee programs, and office administration; elevate complex matters to the HR Director.
  • Prepare and distribute employee communications, newsletters, and company announcements.
  • Maintain accurate and confidential employee personnel records and HRIS information.
  • Support the HR Director and leadership team in administering HR policies, procedures, and programs, and in applying them consistently.
  • Assist with compliance reporting, required employment records, and maintenance of workplace postings and notices.
  • Post open positions, review applications, schedule interviews, and communicate with candidates.
  • Coordinate pre-employment requirements, including background checks and I-9/E-Verify processing.
  • Prepare new-hire documentation and coordinate orientation and new-hire training.
  • Assist managers with performance review processes and related documentation.
  • Document employee relations concerns, coordinate meetings, and elevate issues to the HR Director when appropriate.
  • Support workplace investigations as directed by the HR Director.
  • Coordinate benefit enrollment, changes, qualifying life events, annual open enrollment, and termination information with benefit providers.
  • Maintain accurate benefit and deduction information in the HRIS/payroll system.
  • Review timekeeping and payroll-related information for accuracy and assist with resolving discrepancies.
  • Coordinate employee offboarding and termination processes, including exit paperwork and benefits information.
  • Coordinate employee appreciation programs, recognition initiatives, company events, and other engagement activities.
  • Maintain office supplies, equipment, furniture, and inventory; monitor levels and place orders as needed.
  • Coordinate office maintenance, repairs, cleaning, and other facility services to maintain a safe, clean, and professional workplace.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Maintain an organized filing and records system for administrative documents.
  • Coordinate logistics for company meetings, leadership activities, and business travel.
  • Maintain relationships with office and administrative vendors; obtain quotes and assist with purchasing decisions as requested.
  • Process administrative invoices and maintain appropriate supporting documentation.
  • Coordinate business cards, name badges, office signage, and other company materials.
  • Provide general administrative support to executives, managers, and employees.
  • Maintain confidentiality and exercise sound judgment and discretion when handling employee and company information.
  • Respond to employee and management requests in a timely, professional manner.
  • Participate in special projects and initiatives as assigned.
  • Perform other duties and responsibilities as assigned.

POSITION SUMMARY

The HR Generalist & Office Manager supports the employee lifecycle from onboarding through offboarding - maintaining employee records, coordinating recruiting activities, supporting benefits and payroll administration, helping administer company policies and procedures, and leading employee engagement initiatives. The position also oversees day-to-day office operations, including supplies, vendors, facilities coordination, meetings, and administrative support.

HUMAN RESOURCES RESPONSIBILITIES
Employee Support & Communications
