TOPPAN Packaging Americas is seeking an HR Data Management Specialist to handle day-to-day HR transactions and maintain accurate employee data across Workday, UKG, and ADP systems. You will support benefits administration, data reconciliation, and reporting while handling confidential information with discretion.

The role requires 2–4 years in HR or employee services, strong communication, and organizational skills.

Responsibilities

• High-volume data entry of new hires and lifecycle changes in HRIS systems (Workday, ADP Lyric).
• Auditing and processing benefits in ADP and with multiple vendors.
• Reconciliation of census data between Workday and ADP; investigate discrepancies.
• Daily review of HR inbound interface files and error resolution.
• Provide backup support for OE, merit processing, ticket reviews, and benefits inbox handling.
• Contribute to project work as assigned.

Summary Description:

The HR Data Management Specialist plays a critical role in supporting core HR processes and maintaining accurate employee data within Toppan’s HRIS systems (Workday HR, UKG Time & Attendance, and ADP Payroll). This position is responsible for executing day-to-day HR transactions, ensuring compliance with company policies, and delivering high-quality service to employees and internal stakeholders. The ideal candidate is detail-oriented, process-driven, and comfortable working with HR systems and confidential information

What you’ll be doing:

1. High-Volume Data Entry & Employee Transactions

• Entering new hires in Workday and ADP Lyric (when Workday onboarding is incomplete)
• Processing or verifying employee lifecycle changes in Workday:
• Managing compensation updates and verifying union assignments
• Validating new hire personal information

2. Benefits Administration & Vendor Auditing

• Ongoing auditing of benefits across ADP and multiple vendors (Empower, Aptia, Optum, Manulife)
• Extracting and validating employee elections via Benefits Data Management
• Processing benefit changes directly in ADP
• Reviewing daily benefits files and resolving:
• Managing ongoing data cleanup

3. Data Reconciliation & Reporting

• Pulling and analyzing census reports to reconcile Workday vs ADP data
• Tracking and auditing all data changes within ADP
• Investigating discrepancies across systems and ensuring alignment
• Addressing issues where transactions complete but do not reflect in employee records

4. File Monitoring & Error Resolution

• Daily review of HR inbound interface files

• Research employee issues
• Base Rate Sheet updates/changes
• Assistance with OE and Merit, if needed

5. Project Work

• As assigned

This is an onsite position located in Charlotte, NC (South End) Office

We’d love to hear from you if:

• Prefer Bachelor’s degree in Human Resources, Business Administration, or a related field.
• 2-4 years of experience in HR or employee services roles.
• Excellent verbal and written communication skills, with the ability to interact effectively with employees at all levels.
• Strong problem-solving skills and the ability to handle sensitive and confidential information with discretion.
• Highly organized with the ability to manage multiple tasks and priorities simultaneously.
• Proficiency in HRIS systems, Microsoft Office Suite, and other relevant software.
• Strong interpersonal skills and a customer-service-oriented mindset.
• Keen attention to detail and accuracy in all tasks.
