About The Role

We are seeking a proactive and detail-oriented HR Coordinator/Administrator to join our global HR team. Reporting to the Director, HRBP News, you will support HR Business Partners and the broader people function by managing administrative processes, ensuring compliance, maintaining accurate records, and facilitating communication across HR, payroll, benefits, and other stakeholders. This role requires a hands-on, solutions-focused professional who thrives in a fast-paced international environment. The position offers flexibility to work fully remotely or in a hybrid capacity (3 days per week onsite). Candidates must have the legal right to work in their location.

Responsibilities

  • Partner with HR Business Partners and Talent teams to draft and manage employment contracts, addendums, and related documentation.
  • Maintain and update employee data in the SAP HR system and generate reports as needed.
  • Communicate employee status changes to payroll and benefits teams.
  • Monitor temporary contract timelines and inform relevant stakeholders of upcoming changes.
  • Track employee sickness absence, calculate sick pay, and coordinate documentation with managers and payroll.
  • Manage right to work documentation and compliance, including checks and renewals.
  • Handle invoice processing, vendor setup, and purchase orders.
  • Conduct reference checks per company policies.
  • Assist with recruitment and onboarding administrative tasks.
  • Provide ad-hoc support to the HR team for day-to-day operations and special projects.

Qualifications

  • 1-2 years of experience in an HR Administrator/Coordinator role or similar, preferably within an international organization.
  • Experience with HRIS systems; knowledge of SAP HR and SuccessFactors recruitment/onboarding platforms is desirable but not required.
  • Familiarity with recruitment and onboarding processes.
  • Basic understanding of employment and right to work legislation, preferably across multiple jurisdictions.
  • Strong organizational skills with excellent attention to detail.
  • Clear and professional communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive employee data responsibly.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Advanced professional competency in English; additional languages are a plus.
  • Alignment with AP’s mission and values supporting independent journalism.
