Responsibilities

  • Assist with day-to-day administration of employee benefits programs (medical, dental, vision, life, disability, 401(k), HSA/FSA).
  • Process new hire benefit enrollments and life-event changes; manage terminations.
  • Respond to routine benefit questions and resolve enrollment, coverage, and payroll deduction issues.
  • Maintain employee benefit data in HRIS and benefit carrier systems.
  • Assist with Open Enrollment and prepare communications and tracking.
  • Coordinate with benefit carriers, brokers, payroll, and HR team to resolve issues.
  • Assist with new hire orientation and prepare orientation materials.
  • Coordinate employee uniforms and new hire orders, sizing, and distribution.
  • Support onboarding, offboarding, and HR record maintenance.

Job description

AAA USA is seeking an organized, detail-oriented HR & Benefits Coordinator to join our Human Resources team. This is an entry-level HR position that will support employee benefits administration, new hire orientation, employee programs, and other day-to-day HR functions.

Key Responsibilities:
  • Assist with the day-to-day administration of employee benefit programs, including medical, dental, vision, life insurance, disability, 401(k), HSA/FSA, and voluntary benefits.
  • Process new hire benefit enrollments, qualifying life event changes, benefit terminations, and other employee benefit updates.
  • Respond to routine employee benefits questions and assist with resolving enrollment, coverage, and payroll deduction issues.
  • Maintain accurate employee benefit information within the HRIS and benefit carrier systems.
  • Assist with annual Open Enrollment, including employee communications, enrollment tracking, and system updates.
  • Coordinate with benefit carriers, brokers, payroll, and HR team members to resolve employee benefit issues.
  • Assist with new hire orientation, including preparing orientation materials, presenting HR and benefits information, and helping new employees understand company programs and resources.
  • Coordinate employee uniforms, including new hire orders, sizing, distribution, replacements, and tracking.
  • Assist with the administration and coordination of other company-provided employee benefits, programs, and resources.
  • Support HR activities related to employee onboarding and offboarding.
  • Prepare and distribute employee communications, benefit materials, and HR information.
  • Maintain accurate HR records, documentation, and employee files.
  • Assist with benefit invoices, audits, reports, and reconciliation activities.
  • Respond to general employee questions and direct more complex matters to the appropriate HR team member.
  • Maintain confidentiality of employee and company information.
  • Provide general administrative support to the Human Resources team as needed.
Qualifications:
  • High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • 0–2 years of experience in Human Resources, benefits, payroll, customer service, or an administrative role preferred.
  • Previous HR or benefits experience is helpful but not required.
  • Strong organizational skills and attention to detail.
  • Strong interpersonal and customer service skills.
  • Professional written and verbal communication skills.
  • Ability to manage multiple priorities, stay organized, and follow through on tasks.
  • Comfortable working with numbers, spreadsheets, employee data, and administrative systems.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Experience with an HRIS or payroll system is a plus.
  • Comfortable speaking to groups and assisting with new hire orientation.
  • Ability to handle confidential and sensitive information appropriately.
  • Willingness to learn HR processes, employee benefits, and company policies.
