Job summary

North East Medical Services is seeking an HR Assistant to support the HR department and report to the Senior HR Manager. You will perform administrative tasks, maintain HR files, answer applicant and employee questions, and assist with audits and reports.

Responsibilities include scheduling interviews and trainings, maintaining HRIS data, and supporting events like new hire orientation and open enrollment. Strong organization and communication are essential for this non-exempt, full-time role.

Qualifications

  • High School Diploma or GED required.
  • Associate degree in related field preferred.
  • 1+ year of HR experience preferred.
  • Healthcare experience is a plus.
  • aPHR/PHR/SHRM-CP certification a plus.
  • Knowledge of HRIS systems is a plus.
  • Basic knowledge of local, state, federal labor and payroll laws.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to work with all levels of staff.
  • Strong organizational skills and detail orientation.
  • Proficiency in Microsoft Office Suite.
  • Ability to multi-task and prioritize work.

Responsibilities

  • Provides administrative support to all areas of the HR Department.
  • Maintains accurate HR files, records, and documentation.
  • Answers FAQs from applicants and employees; refer complex questions to senior HR staff.
  • File documents into HR files (I-9s, personnel files, etc.).
  • Schedule phone screens, interviews, trainings, etc.
  • Perform periodic audits of HR files and records.
  • Assist with retrieving documents during audits.
  • Update and maintain HRIS records.
  • Create and maintain HR forms and documents.
  • Run reports as requested.
  • Assist with events like new hire orientation, benefits open enrollment, trainings, and company events.
  • Provide customer service for HR questions.
  • Assist with special projects as requested.
  • Maintain confidentiality of HR files and records.
  • Perform other duties as required by manager/supervisor.

Overview

The HR Assistant reports to the Senior Human Resources Manager and supports the Human Resources Department. The HR Assistant will perform administrative tasks and services to support effective and efficient operations of NEMS’ Human Resources Department.

Responsibilities
  • Provides administrative support to all areas of the HR Department.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc. Refers more complex questions to appropriate senior-level HR staff or management.
  • File documents into HR files, such as personnel files, I-9s, etc.
  • Schedule phone screens, interviews, trainings, etc.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Assist with retrieving documents during companywide audits.
  • Update and maintain accurate records in HRIS system.
  • Create and maintain HR forms and documents.
  • Run reports as requested.
  • Assists with events such as new hire orientation, benefits open enrollment, trainings, company events, etc.
  • Performs customer service functions by answering HR questions.
  • Assists with special projects as requested.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs other job duties as required by manager/supervisor.
Qualifications
  • High School Diploma or General Education Development (GED) required.
  • Associate’s degree in related field preferred.
  • One or more years of experience in Human Resources preferred.
  • Previous health care experience is a plus.
  • aPHR, PHR or SHRM-CP certification a plus.
  • Knowledge of HRIS systems is a plus.
  • Basic knowledge of local, state, federal labor and payroll laws.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to work with all levels of staff.
  • Must have strong organizational skills and be detail oriented.
  • Strong knowledge of Microsoft Office Suite.
  • Ability to multi-task and prioritize work.
  • Ability to work with highly sensitive and confidential matters.
  • Proven ability to work in a fast-paced environment.
Language
  • Must be able to fluently read, write and speak English.
  • Ability to speak Chinese (Cantonese or Mandarin) is an asset.
Status
  • This is an FLSA Non-exempt position.
  • This is not an OSHA high-risk position.
  • This is a Full Time position.
