The Spirit of the Position

The Human Resources Administrator provides administrative and operational support to the Human Resources Business Partner (HRBP) and Transportation Operations leadership. Reporting directly to the HRBP, this position is responsible for ensuring timely and accurate execution of day-to-day HR processes, maintaining compliance documentation, supporting employee lifecycle activities, and delivering exceptional customer service to employees and managers.

The HR Administrator serves as the first point of contact for many HR-related inquiries and plays a critical role in supporting onboarding, employee records, compliance, leave administration, payroll coordination, and workforce reporting across multiple transportation and airport operations.

Key Responsibilities
HR Administration & Employee Support
  • Report directly to and support the Human Resources Business Partner in all HR operational activities.
  • Serve as the first point of contact for employee HR questions, directing issues to the HRBP when appropriate.
  • Maintain employee personnel files and electronic HR records, ensuring accuracy and confidentiality.
  • Process new hire paperwork, employee status changes, separations, promotions, and transfers.
  • Prepare HR correspondence including employment verification letters, disciplinary documentation, and other employee communications.
  • Assist employees with benefits, payroll, leave, and policy-related questions.
Onboarding & Talent Support
  • Coordinate onboarding activities for new hires, including orientation scheduling and new hire documentation.
  • Ensure completion of I‑9s, E‑Verify, background checks, drug screens, DOT requirements, and airport badging documentation.
  • Track pre‑employment requirements and communicate hiring progress with Talent Acquisition and Operations.
  • Schedule interviews and assist with hiring events as needed.
  • Support workforce transition activities and onboarding during acquisitions or new contract mobilizations.
Compliance & Recordkeeping
  • Maintain HR compliance documentation in accordance with DOT, FMCSA, FTA, airport security, federal, state, and local regulations.
  • Monitor completion of required certifications, licenses, and compliance training.
  • Prepare personnel files and documentation for internal, client, and regulatory audits.
  • Ensure HR documentation is accurate, complete, and audit‑ready.
  • Maintain confidential employee information in accordance with company policies.
Leave, Benefits & Payroll Support
  • Assist with administration of FMLA, ADA accommodations, workers' compensation, and other employee leaves.
  • Coordinate documentation between employees, managers, benefits providers, and third‑party administrators.
  • Support payroll processing by reviewing employee changes and assisting with payroll corrections.
  • Monitor attendance documentation and leave tracking.
  • Assist employees with benefit enrollment and general benefits administration.
HR Reporting & Operational Support
  • Generate routine HR reports including headcount, turnover, open positions, and compliance metrics.
  • Maintain training records and assist with scheduling required employee training.
  • Coordinate employee recognition programs, engagement initiatives, and HR communications.
  • Order office and onboarding supplies as needed.
  • Support special HR projects and operational initiatives assigned by the HRBP.
Employee Relations Support
  • Schedule employee meetings and assist with investigation logistics.
  • Document employee conversations and maintain investigation files.
  • Maintain professionalism and confidentiality while supporting sensitive employee matters.
Requirements
  • Associate's degree in Human Resources, Business Administration, or related field preferred; equivalent experience considered.
  • 2–4 years of Human Resources, administrative, or office management experience.
  • Experience supporting multiple locations or high‑volume operations preferred.
  • Working knowledge of employment laws, HR practices, and personnel administration.
  • Experience with HRIS, applicant tracking systems, Microsoft Office Suite, and payroll systems preferred.
  • Transportation, airport, logistics, or DOT‑regulated industry experience is a plus.
