Job summary

Raines Co. is seeking a Sales Coordinator to support the sales and marketing department, optimizing revenue and bookings for the hotel. The role emphasizes administrative accuracy, client communications, and coordination with prospects and internal teams.

The candidate will manage filing and CRM data, prepare proposals and invoices, and perform market research while maintaining professional appearance and guest-focused service.

Qualifications

• Two years of progressive experience in a hotel environment.
• Experience in administrative functions, telephone, email and filing systems.
• Experience with Delphi FDC, Sales Pro, brand's PMS and/or sales related applications a plus.
• Proficient in Microsoft 365 or similar computer applications.
• Minimum High School Diploma or Equivalent.
• Associate’s and/or Bachelor’s degree in business, marketing or related field preferred.

Responsibilities

• Maintain high standards of personal appearance and grooming, including proper uniform and nametag.
• Approach guests and employees in an attentive, friendly, courteous, and service-oriented manner.
• Maintain organized and accurate filing system on all accounts and trace file for future activities.
• Maintain regular attendance as required by scheduling.
• Comply with standards and regulations to ensure safe and efficient hotel operations.
• Keep supervisor informed of matters requiring attention.
• Correspond with prospects and clients and answer questions about venue options, rates, packages.
• Send proposals and/or invoices accurately, timely and professionally.
• Perform research on competitive hotels, venues, clients, trends and prospects.
• Gather and assemble sales collateral and correspond with clients.
• Enter, retrieve or reconcile rooming lists, event orders in CRM systems.
