Qualifications

Responsibilities

  • Assist meeting room configurations, bookings, and cleanup.
  • Create work orders and coordinate with technicians and vendors.
  • Generate reports on work orders and verify status.
  • Process invoices and ensure correct cost coding.

About the Role:

Asa CBRE Hospitality/Workplace Assistant, you will support the facilitiesmanagement team in successfully fulfilling the clients requirements. The rolemay include front desk responsibilities.

What You’ll Do:
  • Onyour feet most of the day
  • Hands-on setup andbreakdown
  • Food & beverage service for meetings
  • Maintaining pantryand office spaces
  • Resetting andcleaning of shared spaces, meeting rooms, conference areas and hotel desks.
  • Assisting insetting up catering and drinks for meetings are per requests.
  • Respondto client inquires and concerns, ensuring prompt and quality service deliveryand conduct follow ups to ensure customersatisfaction.
  • Setting up meeting room configurationas per client requirements, confirm bookings and pack down and reset of spaceswhere required.
  • Create work orders and assign tomultiple technicians, subcontractors and vendors.
  • Communicate work orders to techniciansand aid management in problem-solving
  • Generate reports on open and closedwork orders and verify their status with the appropriate technician or vendor.
  • Maintain records such as work orders,proposals, and department files.
  • Create vendor files and check theaccuracy of the completed paperwork.
  • Ensure vendors understand work orderand billing procedures.
  • Process invoices and ensure the correctcost center coding is used.
  • Assist with the inspections on thefacility campus.
  • Assist with process and proceduretraining.
What You’ll Need:

  • High school diploma or generaleducation degree (GED) required. Minimum of two years of related experienceand/or training.
  • Capability to understand and interpretinstructions and correspondence, with the confidence to ask questions to ensurecomprehension.
  • Ability to write routine reports andcorrespondence.
  • Ability to respond to common inquiriesor complaints from clients, co-workers, and/ or supervisor.
  • Ability to effectively presentinformation to an internal colleagues.
  • Basic analytical abilities andknowledge of financial terms and principles. Ability to calculate simplefigures such as percentages.
  • Capability to comprehend and executegeneral instructions and solve problems in common situations.
  • Basic knowledge of Microsoft Officeproducts. Examples include Word and Outlook.
  • Physical requirements include stooping,standing, walking, climbing stairs and ladders and the ability to lift andcarry heavy loads of 40 lbs. or more.
  • Decision making ability with a generalunderstanding of procedures and company policies to achieve goals anddeadlines.
  • Strongorganizational skills with an inquisitive mindset.
